Cisco TelePresence® Management Suite Extension for Microsoft Exchange (Cisco® TMSXE) is an extension for Cisco TelePresence Management Suite (Cisco TMS) that enables telepresence scheduling through Microsoft Outlook and replicates Cisco TMS meetings to Exchange room calendars.
Cisco TMSXE integrates smoothly with Microsoft Exchange Server 2007 and 2010 to provide fully featured, intuitive scheduling capabilities through Microsoft Outlook (Figure 1). Employees can view availability of colleagues, invite attendees, and book telepresence rooms based on their individual security profiles and permissions. Cisco TMS automatically handles routing logic and other meeting resources such as Cisco TelePresence Servers and multipoint control units (MCUs), based on default settings that the Cisco TMS administrator manages.
In addition to the meeting invitations sent to the required attendees, Cisco TMSXE sends the meeting organizer confirmation of successful bookings with all of the meeting details, and provides notification if one or more of the required resources could not be booked.
Cisco TMSXE makes scheduling a telepresence meeting as easy as scheduling any other meeting. This ease of scheduling helps ensure increased usage and adoption of video-enabled meetings, leading to improved collaboration among employees, customers, and partners.

• Easy to use: The familiar Microsoft Outlook interface allows you to quickly and intuitively schedule individual and recurring telepresence meetings.
• Visually informative: Viewing availability of colleagues and telepresence rooms in real time allows you to easily find a time to schedule your meeting.
• Synchronized scheduling: Up-to-date information about scheduled meetings is available in both Microsoft Outlook and the Cisco TMS user interface (Figure 2). Cisco TMSXE synchronizes meeting information between Microsoft Exchange Server and Cisco TMS through the Exchange Web Services (EWS) application programming interface (API).
• Simple deployment: Installation, deployment, and migration are easy with an intuitive configuration wizard, independent of Microsoft Exchange Server.
• Flexible: Administrators can enable advanced settings through an optional Cisco custom meeting request form for Microsoft Outlook. The form allows advanced users to modify default conference settings and add dial-in and dial-out external participants.
• Extended reach: Cisco TMSXE provides greater access to schedule any system (Cisco or third-party) bookable by Cisco TMS, based on individual permissions, thereby reducing administrative overhead and encouraging adoption.
