Introduction
System support tasks consist primarily of monitoring and updating meeting schedules and monitoring the status of rooms and system services.
Dashboard
Choose Dashboard to display a concise report of system activity. The dashboard provides a snapshot of meetings that are scheduled for the day and shows the status of system services. This is a good place to monitor meetings and equipment. Click highlighted links in this window for quick access to other windows that provide meeting and room-scheduling functions.
Table 2-1 describes information in the Dashboard report. To update the reports, click Refresh.

• All Meetings—All meetings scheduled for today.
Click the link associated with each report to go to the Scheduled Meetings window.

Status report of the following devices:
• Cisco TelePresence rooms—Clicking the link displays the Status tab in the Support > Rooms window.
• Multipoint Conference Units (MCUs)—Clicking the link displays the Support > Multipoint Conference Unit window and filters the list to those MCUs with an error status.
• Unified CM—Clicking the link displays the Support > Unified CM window.
Note An error status may be reported if the connection to Unified CM was caused by a network outage. You can remove the error status by restarting Cisco TelePresence Manager.

|
Status report of following system services:
• Calendar Server
• LDAP Server
• Room Phone UI
• Database
• Multipoint Conference
• Discovery
Status is either OK or is a highlighted link listing the number of errors. You can click a link to see further status information and resolve problems. You can also pass your mouse over a highlighted link to see a brief description of the error.

Uptime
|
Status reporting uptime since the last restart.
• Services refers to the list of services above.
• TelePresence Engine refers to the CiscoTelePresence database engine.
• System Platform refers to the hardware host for CTS-Manager.

Scheduled Meetings
When a Cisco TelePresence meeting is scheduled using Microsoft Outlook or IBM Lotus Notes, an e-mail is sent to the meeting scheduler to confirm the meeting and provide a link to meeting details. The Scheduled Meetings window provides another way to view and modify meeting details.
Modifying Meeting Details from a Calendar Client
•
If a meeting organizer updates the Subject field of a meeting scheduled with Lotus Notes that has already been sync'd with CTS-Manager, the update is not reflected in phone user interface.
•
If a meeting is modified within a few minutes of the meeting's starting time (such as a time change, or room change), the modification may not appear on the room phone screen, or in the Cisco TelePresence Manager's Scheduled Meetings window. This does not affect any user's ability to schedule a new meeting at the original time (pre-modified) time.
•
A notification email is not generated if a meeting is processed as part of a server startup.
Calendar Scheduling Limitation
Meetings scheduled more than 12 months in the future are not accepted by Cisco TelePresence Manager. There is no Action Required email sent to the meeting organizer, but Microsoft Exchange or IBM Domino accepts the meeting and sends acceptance emails on behalf of each conference room.
Generating Scheduled Meeting Reports
You can generate a report about specific scheduled meetings or activity between specific dates by supplying any or all of the following details:
•
Type the meeting room name in the Room field.
•
Type the user name of the meeting organizer in the Scheduler field.
•
From the Status drop-down list, choose the All, With Error, In Progress, Scheduled, Completed, or No Show meeting status.
•
Use the Calendar icon to choose beginning and ending dates, or type the dates in the Start On and End On fields using the MM/DD/YYYY date format.
•
Type the name of the MCU.
•
Click Filter.

Start Time
|
The scheduled starting time for a meeting. Click the arrow in the header of the Start Time column to sort the time from earliest to latest or latest to earliest.

The scheduled ending time for a meeting.

Room status: All, With Error, In Progress, Scheduled, Completed, or No Show.
|
Room
|
Meeting room name as specified in the Microsoft Exchange or IBM Domino database.

Scheduler
|
Login name of the person who scheduled the meeting. Click the arrow in the header of the Scheduler column to sort the list in ascending or descending alphabetical order.

Subject
|
Information (such as the meeting subject) provided about the meeting.

Note
If a meeting does not appear in the list Scheduled Meetings and it is a recurring meeting, check the starting date of the first occurrence of the meeting. If the meeting was scheduled to begin more than one year in the past, reschedule future occurrences.
Exporting Scheduled Meeting Data
You can use the Export Data button to export your scheduled meeting data to a tab-separated values (.tsv) file. The meeting data exported includes the meetings appearing in the Scheduled Meetings window.
Tip
Use the filter to display only the scheduled meetings you want to export.
Meeting Details
To see meeting details, click the radio button next to a scheduled meeting and click Details.
Table 2-3 describes meeting details.

Subject
|
Displays information provided about the meeting, often truncated. Run your mouse pointer over the Subject field to see the full description.

Scheduler
|
Login name of the person who scheduled the meeting.

Occurs
|
Specifies if the meeting is a single occurrence or has multiple occurrences.

All Occurrences
|
This column lists all the occurrences of your recurring meeting. Each meeting instance is a link. Meeting icons showing a red X refer to those meeting instances with errors. Click the link to show the meeting details for that instance.
|
Scheduled Start Time
|
Displays the start date and time of the meeting.
|
Schedule End Time
|
Displays the end date and time of the meeting.
|
Rooms
|
Meeting room name, which is also a link to the Cisco TelePresence System Administration application where information can be reviewed and revised.
• If only one Cisco TelePresence room has been scheduled you can specify the number to be dialed in the Bridge Number to Dial field.
• If a second Cisco TelePresence room is added after the meeting has been scheduled the dialing number will be removed, and the call will be automated using One -Button -To -Push.
• If a room is configured to accept meeting invitations manually through a proxy (a room delegate), the room may be displayed as having tentatively accepted a meeting invitation. The proxy must reply to the invitation email to change the room state to accepted.

Privacy Preference
|
Radio buttons select whether information about an upcoming meeting is displayed on the room's IP phone.
• Click the Public (display meeting information on room phone) radio button to display meeting information on the phone user interface.
• Click the Private (do not display meeting information on room phone) radio button to preserve meeting privacy.
|
Scheduler Email
|
Displays the date and time a confirmation or Action Required email was sent to the meeting organizer.
|
Send Email
|
Clicking the Send Email button will send another confirmation email to the meeting organizer.
|
Apply
|
Clicking the Apply button updates the changes you have made in the meeting details window.
|
Multipoint Conference Unit
|
This drop-down list includes all the scheduled MCUs registered with Cisco TelePresence Manager. You can migrate a master meeting series, or one instance of a recurring meeting to a different MCU. When you choose a MCU and click Apply, a dialog box is displayed asking you if you want to migrate the one meeting instance or all future occurrences.
Note If you migrate to another MCU it may not support any configuration policy. See below for an explanation.
Caution  The scheduled MCUs listed in the drop-down box are those with resources available when you opened the Meeting Details window. If you wait, even a few minutes, resources on other MCU may be reserved for other meetings being scheduled. If you are going to migrate a meeting series or a single meeting instance you should click Apply to insure the MCU resources are available for your meeting.

Configuration Policy/ Switching Mode
|
If the Configuration Policy field label is visible, the field value will always read "Not Supported". This value refers to the MCU being used for the specific instance of the meeting. The MCU to be used for the meeting instance is running a software version that does not support any configuration policy.
If the Switching Mode field label is visible, the MCU being used for that instance of a meeting supports three switching modes:
• Auto-Assign—The switching policy is determined by the MCU. The MCU default switching policy is set through Cisco TelePresence Multipoint Switch Administration.
• Site—This switching policy specifies that all segments of an endpoint are switched.
• Segment—This switching policy specifies that only the segment (left, center, or right) of a CTS3000 is switched when the meeting participant is speaking.

Bridge Number To Dial
|
This dialing number is set by Cisco TelePresence Manager for a multipoint meeting and is sent to the MCU for use during a meeting.
|
Conference ID
|
The Conference ID is set by Cisco TelePresence Manager for a multipoint meeting and is sent to the MCU to identify all the endpoints included in the scheduled meeting.
|
Rooms
Choose Rooms to display information about the Cisco TelePresence meeting rooms. The Rooms Support window is divided into two, tabbed views.
•
The Summary view displays the status of all the Cisco TelePresence rooms registered with Cisco TelePresence Manager. Table 2-4 describes information in this window.
•
The Status view displays the different error types for Unified CM, each Cisco TelePresence System registered with Cisco TelePresence Manager, and Microsoft Exchange or IBM Domino connection errors. Table 2-5 describes information in this window.
Generating Room Reports
You can generate a report about specific meeting rooms and meeting status, as follows:
•
Choose the call status—All, OK, Error, or In Use—from the Status drop-down list.
•
Type the meeting room in the Room field.
•
Click Filter.
Note
A maximum of 100 rooms are displayed per page. If you have more than 100 rooms registered with Cisco TelePresence Manager you can click the Next button to display the additional rooms.

Manually Updating Room Schedules on the Cisco TelePresence Room Phone
To update a room's IP phone with what is currently scheduled in the Microsoft Exchange or IBM Domino database:
•
Click the radio button associated with a room.
•
Click Update Schedule.
Viewing Scheduled Meetings for a Specific Room
To obtain additional information about any meetings associated with a room:
•
Click the radio button associated with a room.
•
Click View Meetings.

MCU Devices
Choose MCU Devices (Multipoint Conference Unite) to display information about the MCUs associated with Cisco TelePresence Manager.
Generating Multipoint Conference Unit Reports
You can generate a report about specific MCU devices, as follows:
•
Choose the status—All, OK, or Error—from the Status drop-down list.
•
Type the MCU Hostname in the MCU field.
•
Click Filter.
•
Select a MCU and click Details to display a detailed report about the MCU device.
•
Select a MCU and click Update Schedule to send the latest meetings schedule to the MCU.
•
Select a MCU and click View Meetings to display a list of meetings assigned to that MCU.

Cisco Unified Communications Manager
To display settings that associate the Cisco TelePresence Manager with Unified CM, choose Support > Unified CM.
Table 2-8 describes fields and settings.

Service Status

You may see a progress indicator in the status field, especially if many Cisco TelePresence meeting rooms are being managed by CTS-Manager. Each time this page is accessed, the status is updated, and the progress indicator will be seen while the system is discovering meeting rooms.
Caution  An error status may be reported if the connection to Unified CM was caused by a network outage. You can remove the error status by restarting Cisco TelePresence Manager.
