The Resource Manager Outlook Client for Cisco Unified Videoconferencing Manager is a separately installed plug-in that allows users to schedule a meeting via the Microsoft Outlook appointment form interface rather than in the Resource Manager web interface.

To use the Resource Manager Outlook Client, you require the following:

One of the following Microsoft Outlook versions:

Outlook 2003 SP3 on Windows XP SP2 and Windows 2003 SP2

Outlook 2007 on Windows XP SP2 and Windows 2003 SP2

Outlook XP on Windows XP SP2

Outlook on Windows Vista is not supported.

Microsoft Exchange 2000 or 2003 Server

Dedicated e-mail account for receiving meeting messages including meeting accept and decline messages.

A dedicated Cisco Unified Videoconferencing Manager server which the Resource Manager Outlook Client connects to.

Restrictions for Resource Manager Outlook Client

A meeting scheduled in Microsoft Outlook can only be modified in the Microsoft Outlook interface.

Once a meeting is scheduled, you cannot modify its recurrence pattern. To modify the recurrence pattern, delete the recurring meeting, and then schedule a new recurring meeting. Modification of the recurrence pattern includes changing parameters of the recurrence:

Interval (weekly, monthly, or yearly)

Number of recurrences

Start and/or end date

Client-side Installation

Centrally Deploying the Resource Manager Outlook Client

System Administrators are permitted to install the Resource Manager Outlook Client on the controller server domain by defining a new group policy object that pushes Resource Manager Outlook Client out to all the machines in the domain.

The Resource Manager Outlook Client is then automatically installed on each client machine when a user signs on using a domain account.

Procedure


Step 1 Open the Active Directory Users and Computers console on the domain controller.

Step 2 Right click the OU that you want to deploy the msi package to and click Properties.

Step 3 Click the Group Policy tab and click New to add a new group policy:

Step 4 Select New Group Policy Object and click Edit.

Step 5 Select User Configuration > Software Settings > Software installation, and right click anywhere in the empty panel on the right.

Step 6 Select New > Package and browse to the .msi file you want to deploy.


Note The .msi file must be in a shared network location, accessible to other computers in the domain.


Step 7 Click Open to return to the Group Policy Object Editor.

Step 8 Right click the new entry in the Group Policy Object Editor and select Properties.

Step 9 Click the Deployment tab, check Install this application at logon, and click OK.

Step 10 Close the Group Policy Object Editor.

Step 11 Click OK to complete the central deployment.


Client-side Installation

You can directly install the Resource Manager Outlook Client on a client computer.

Procedure


Step 1 Click My Profile in the sidebar menu.

Step 2 Click My Info.

Step 3 Ensure that User ID, e-mail address, and password settings are the same in My Profile as they are for the Microsoft Outlook server.

This does not apply if you are using an external directory.

To access your user profile via the Resource Manager web interface, use the Resource Manager credentials provided by the system administrator.

Step 4 Shut down all applications running on the computer, including Microsoft Outlook.

Step 5 Run the outlook_addon_setup.msi file.

The Integration Setup Wizard window for the add-on appears.

Step 6 Choose an installation location for the add-on, in the Select Installation Folder window.

Step 7 Follow the wizard instructions to complete the add-on installation process.

When the installation process is complete, a message appears confirming whether or not the installation was successful.

Step 8 Start Microsoft Outlook on the client machine after the installation is successfully completed.


Upgrading the Resource Manager Outlook Client

Procedure


Step 1 Uninstall your current version of the Resource Manager Outlook Client.

Step 2 Install the new version of the Resource Manager Outlook Client.


Configuring the Resource Manager Outlook Client

Procedure


Step 1 Start Microsoft Outlook.

Step 2 Select Tools > Options > CUVCM Meetings.

Step 3 Select Make the CUVCM schedule form the default scheduling form for all new meetings to enable the scheduling interface for all Outlook meetings by default.

When you schedule a new meeting in Microsoft Outlook Calendar, a Rich Media tab appears between the Outlook Appointment and Scheduling tabs.

Step 4 Enter the Resource Manager server URL in the Web Site field.

Step 5 Enter your Resource Manager login ID in the User ID field.

Step 6 Enter your Resource Manager password in the Password field.

If you choose Enable Single Sign-On when you install Resource Manager, the User ID and Password values are not used for login authentication.

Step 7 Enter your Resource Manager organization login ID in the Organization field.

The Resource Manager Outlook Client application appears.

Step 8 In the Resource Manager, make sure that the CUVCM icon appears in the Microsoft Outlook Calendar toolbar and in the Microsoft Windows Control Panel in the Add/Remove Programs list.

When a user account is created by a system administrator in Resource Manager, the user receives an e-mail that includes the following information: server URL, user ID, password, and organization login ID. For LDAP users, the information should match the Microsoft Windows login ID, password, and domain name.
