About All Meetings

The All Meetings section displays the meeting schedule for the entire organization. Only Meeting Operators and Organization Administrators have access to the All Meeting section. All Meetings includes information about scheduled meetings in the past, present and future. If you have in-meeting control privileges, you can take control of a meeting in All Meetings.

All Meetings functionalities are similar to those of My Meetings in the User section of the interface. You can search for a meeting record, generate reports for upcoming meetings or past meetings, and access the In-meeting Control interface for a current meeting.


Note Admin > All Meetings and User > My Meetings share common functionalities. Only functionalities specific to All Meetings are described in this chapter. Functionalities that are common to both are detailed in the My Meetings section.


To access All Meetings, from the sidebar menu, choose Admin > All Meetings. The All Meetings section includes the following tabs

Current—Lists all meetings currently in progress in the organization. This tab opens by default.

Upcoming—Lists all upcoming meetings for the entire organization.

History—Lists all past meetings for the entire organization.

Using the Current Tab

On the Current tab, a list of all meetings currently in progress is displayed. To access the In-meeting Control interface from the Current tab, click on a meeting subject. Information about each meeting is included under the following column headings:

Subject—Subject of the meeting.

Start Time—Meeting date and start time.

Duration—Length of the meeting, in minutes.

Host—Name of the designated host of the meeting.

Status—Meeting creation status. The color of the status indicator indicates the following status:

Green—Successful status

Orange—Alert status

Red—Failure status

There are three status indicators in each row

First (left) status icon—Indicates meeting creation status.

Second (middle) status icon—Indicates participant/terminal status.

If the second status indicator is red, a participant/terminal is not connected.

If the second status indicator is orange, a participant/terminal is disconnecting from the meeting.

Third (right) status icon—Indicates meeting termination status.

To view the Reason Failed error message, click the red status indicator, and then click Retry to resend the meeting information to the MCU.


Note If a terminal is disconnected correctly via the In-meeting Control interface, there is no red status indicator.


MCU—All MCUs that are currently hosting the meeting are listed, including the master MCU.

Meeting ID—The identification number dialed by participants in order to join the meeting.


Note There is an icon to the right of the Meeting ID column. Click the icon to terminate the current conference without having to open the In-Meeting Control screen.



Using the Upcoming Tab

The Upcoming tab lists all upcoming video meetings for the entire organization. Information about each meeting is included under the following column headings:

Subject—Subject of the meeting.

Start Time—Meeting date and start time.

Duration—Length of the meeting, in minutes.

Host—Name of the designated host of the meeting.

MCU—All MCUs that are currently hosting the meeting are listed, including the master MCU.

Meeting ID—The identification number dialed by participants in order to join the meeting.

Using the History Tab

On the History tab, you can view past meetings of a specified user or organization. you can also search for meetings and generate meeting reports. Information about each meeting is included under the following column headings:

Subject—Subject of the meeting.

Start Time—Meeting date and start time.

Duration—Length of the meeting, in minutes.

Host—Name of the designated host of the meeting.

Status—Meeting termination status. To sort by failure status, click the Status column heading. The color of the status indicator indicates the following status:

Green—Indicates successful termination and all participants successfully exited the meeting.

Red— Indicates unsuccessful meeting termination or the abnormal exit of a terminal from a meeting. Click the red status indicator to view a reason failed error.

MCU—All MCUs that hosted the meeting are listed, including the master MCU.

Meeting ID—The identification number dialed by participants when they joined the meeting.

Deleting Meeting History

Click Delete History to delete the meeting history from the History tab at any time. All past meetings are deleted from the History tab.
