What’s happening

The number of mobile devices accessing meetings has risen steadily over the last couple of years. As more people are working from anywhere, they are using mobile devices to attend meetings not out of necessity but because it lets them attend regardless of their location. This trend indicates that mobility is becoming a larger part of the collaborative experience. Being able to attend meetings while "on-the-go" supports hybrid work by making meetings accessible no matter where the individual might be.​

The impact

Flexibility is an essential aspect of hybrid work, that includes being able to use different devices depending on where individuals are located or the type of networks that they have access to. Using mobile devices makes meeting attendance more seamless and easier to schedule. While mobility is an upside, being more readily available can lead to longer working hours and meeting fatigue. Moreover, working from anywhere in the "third-office" often comes with unplanned distractions and background noise.​

What you can do

  • Embrace the flexibility that mobility offers and be supportive of people using different devices to attend meetings. ​
  • Be mindful about how increased mobility might impact "always-on" individuals and make accommodations to combat meeting fatigue.​
  • Train people how to use meeting features that improve attendee's focus such as background noise removal, video quality settings, virtual video backgrounds, and other technologies that mitigate distractions.​
  • Adopt new habits for meeting format and scheduling including providing clear meeting agendas and goal, scheduling meeting-free days, and encourage individuals to block time on their calendars for interrupt free work. ​
