You can import existing user profile, group, or meeting information to Cisco Unified MeetingPlace Express from another database, such as Cisco Conference Connection, Cisco Unified CallManager, an e-mail directory, or a human resources database.
Although creating a process for importing the initial database and keeping it current requires planning, doing so saves you time overall. Rather than worrying about accepting impromptu requests, you can manage the process by anticipating any circumstances that may occur.
There are two types of files that you can import: comma-separated value (CSV) files and Cisco Conference Connection files. The first sections of this chapter explain how to import data from CSV files and the last section describes how to import meetings from Cisco Conference Connection.

Requirements for Importing Data
Before you import user, group, or meeting information into Cisco Unified MeetingPlace Express, you must create an import file to contain that information. The import file must be a comma-delimited ASCII file (an unformatted or flat file). For best results, the import file should be a text file with a .csv extension.
The first line of the file is a group of keywords that acts as a header and identifies the order in which data appears in all subsequent lines. The keywords may be in any order.
All subsequent lines of the file contain the actual data. The information must appear in the same order as in the header.
For example, if each line of information starts with the first name of the user and then lists the last name, user ID, profile number, phone number, contact user ID, group name, and time zone code, then all subsequent lines will have that same information in that same order. An example would look like this:

Note the following information:
•
Import groups before you import individual users, as several fields in the user profiles are populated based on the group profile.
•
Any spaces placed at the beginning or end of a value are deleted during the import process unless the value and the leading or ending spaces are enclosed in double quotation marks (" "). Spaces within a value, for example in Tech Support for a billing code, are imported without being deleted.
•
Any commas used in a value must be enclosed in double quotation marks, such as using "Smith, John" for a user ID.
•
All text is case insensitive.
When importing records:
•
If you set the Overwrite duplicate information? field to no, all existing users (or groups or meetings) in the original file are skipped and remain as is.
•
If the Overwrite duplicate information? field is set to yes and you are importing users, then users with the same profile number but a different user ID are not imported because this is considered an error. If the imported user has a valid profile number and user ID, all fields are updated with the new information except for the user type and user active fields for the administrator and the user type and profile password fields for the guest user.
•
If the Overwrite duplicate information? field is set to yes and you are importing groups, then all group properties except for the group name are overwritten.

Setting Up an Import File
Follow these steps to set up an import file before you import information into the Cisco Unified MeetingPlace Express system.
Procedure
Step 1
Export a similar file by following the steps in one of the following sections:
•
Exporting Information about User Profiles, page 8-4
•
Exporting Information about User Groups, page 8-5
•
Exporting Information about Meetings, page 8-6
For example, if you plan to import user groups, then first export existing user groups from Cisco Unified MeetingPlace Express. You can use this file as a template.
Note
In the Include field header names, be sure to select Yes. This exports the headers.
Step 2
When prompted, save the exported file by clicking Export to File. Save the file with a .csv extension.
Step 3
On your PC, open a spreadsheet program such as Excel.
Step 4
Open the file that you saved in Step 2.
Step 5
In the spreadsheet application, the required headings are listed in the first row and data is listed in all subsequent rows. Delete all rows except for the header row.
Step 6
For the group (or user or meeting) that you are importing, enter information in the appropriate fields. For example, in the ContactID field, enter the user ID for the group's delegate. If you are unsure about what to enter in any field, delete that field (unless it is a required field). Do not leave it blank because the system populates all blank fields with a default value.

Step 7
Save and close the file.
Step 8
Follow the steps in the "Importing User Groups" section, "Importing User Profiles" section, and "Importing Meetings" section.
When importing information into Cisco Unified MeetingPlace Express, the system prompts you for a data file to use. Enter the name of the file that you saved in Step 2.

Importing User Groups
This topic describes how to import user group information to Cisco Unified MeetingPlace Express from another database, such as Cisco Conference Connection, Cisco Unified CallManager, an e-mail directory, or a human resources database.
Note
User profiles are automatically assigned to the default system group if the specified user groups do not already exist in the Cisco Unified MeetingPlace Express database.
Tip
To recover groups as they existed in the original database, export groups and users at the same time.
Before You Begin

Step 2
Populate the import file. See the "About This Page: Group Information" section for information on all the fields.
Follow these steps to import one or more user groups.
Procedure
Step 1
Log in to Cisco Unified MeetingPlace Express.
Step 2
At the top of the page, click Administration.
Step 3
On the left side of the page:
a.
Click Maintenance.
b.
Click Import Information.
c.
Click Group Profiles.
Step 4
Enter values in the fields, which are described in the "About This Page: Import Group Profiles" section.
Step 5
Click Execute.
Step 6
The system displays a message stating that the profile records in the file will be imported into the Cisco Unified MeetingPlace Express system and asks if you want to continue. Click OK.
Step 7
When finished, the system displays a status of the import process. Do one of the following:

To print the status message, click Print.
•
Click OK.

Deleting User Groups
This topic describes how to delete user groups from Cisco Unified MeetingPlace Express. Although you can delete user groups individually (see the "About This Page: User Group Management" section) you can delete multiple user groups at one time by following this procedure.
Before You Begin
Step 1
Create a file to hold the group profile information. See the "Setting Up an Import File" section.
Step 2
Populate the file with information for those user groups that you want to delete. See the "About This Page: Group Information" section for information on all the fields.
Follow these steps to delete one or more user groups.
Note
You cannot delete the group called system.
Procedure
Step 1
Log in to Cisco Unified MeetingPlace Express.
Step 2
At the top of the page, click Administration.
Step 3
On the left side of the page:
a.
Click Maintenance.
b.
Click Import Information.
c.
Click Group Profiles.
Step 4
Enter values in the fields, which are described in the "About This Page: Import Group Profiles" section. In the Action to perform field, be sure to select Delete groups from system.
Note
Ignore the Overwrite duplicate information? field. Its value does not affect the process.
Step 5
Click Execute.
Step 6
The system displays a message stating that the group records in the file will be deleted from the Cisco Unified MeetingPlace Express system and asks if you want to continue. Click OK.
Step 7
When finished, the system displays a status of the delete process. Do one of the following:

To print the status message, click Print.
•

Importing User Profiles
This topic describes how to import user profile information to Cisco Unified MeetingPlace Express from another directory, such as Cisco Unified CallManager or a corporate directory.
Before You Begin
Step 1
Import user groups before you import individual users because several fields in the user profile are populated based on the value for the user group. See the "Importing User Groups" section.
Step 2
Configure a guest user. The values set in the guest user profile are automatically used as the defaults for all new users.
Step 3
Create an import file to hold the user profile information. See the "Setting Up an Import File" section.
Step 4
Populate the import file. See the "About This Page: Profile Information" section for information on all the fields.
Follow these steps to import one or more users.
Procedure
Step 1
Log in to Cisco Unified MeetingPlace Express.
Step 2
At the top of the page, click Administration.
Step 3
On the left side of the page:
a.
Click Maintenance.
b.
Click Import Information.
c.
Click User Profiles.
Step 4
Enter values in the fields, which are described in the "About This Page: Import User Profiles" section.
Step 5
Click Execute.
Step 6
The system displays a message stating that the profile records in the file will be imported into the Cisco Unified MeetingPlace Express system and asks if you want to continue. Click OK.

When finished, the system displays a status of the import process. Do one of the following:

Deleting User Profiles
This topic describes how to delete users from Cisco Unified MeetingPlace Express. Although you can delete users individually (see the "About This Page: User Profile Management" section) you can delete multiple users at one time by following this procedure.
Before You Begin
Step 1
Create a file to hold the user information. See the "Setting Up an Import File" section.
Step 2
Populate the file with information for those users that you want to delete. See the "About This Page: Group Information" section for information on all the fields.
Follow these steps to delete one or more users.
Note
You cannot delete special user accounts nor can you delete yourself.
Procedure
Step 1
Log in to Cisco Unified MeetingPlace Express.
Step 2
At the top of the page, click Administration.
Step 3
On the left side of the page:
a.
Click Maintenance.
b.
Click Import Information.
c.
Click User Profiles.
Step 4
Enter values in the fields, which are described in the "About This Page: Import User Profiles" section. In the Action to perform field, be sure to select Delete users from system.
Step 5
Click Execute.
Step 6
The system displays a message stating that the profile records in the file will be deleted from the Cisco Unified MeetingPlace Express system and asks if you want to continue. Click OK.
Step 7
When finished, the system displays a status of the import process. Do one of the following:

To print the status message, click Print.
•

About Imported Meetings
The import function can be used to add or delete meetings that are specified in a comma-separated values (CSV) formatted file. See the following sections:

Restrictions for Imported Meetings
•
An imported meeting cannot be scheduled if any of the following conditions are true:
–
The SchedulerUid field in the import file is blank, and a substitute username is not configured in the Scheduler user ID field on the Import Meetings page.
–
There are not enough voice or web ports available for the imported meeting.
–
(Release 1.1.1 and earlier releases only) The SchedulerUid field in the import file does not correspond to an existing user profile.
•
In Release 1.1.2 and later releases, if the username in the SchedulerUid field does not correspond to an existing user profile, then the import process replaces the SchedulerUid entry with the value entered in the Scheduler user ID field on the Import Meetings page.
•
Continuous and recurring meetings are scheduled from the current time; meeting information from the past is not imported.
•
Continuous meetings can be imported only in Release 1.1.2 and later releases.
•
When recurring meetings are imported to Cisco Unified MeetingPlace Express, the following behavior applies:
–
Release 1.1.2 and later releases—Each occurrence in the import file is scheduled as an individual meeting with no recurrence pattern.
–
Release 1.1.1 and earlier releases—Each occurrence in the import file is scheduled as a separate recurring meeting that ends after one occurrence.

Examples of Meeting Import Errors
This section lists errors that may be generated during the meeting-import process and logged in the import log:
•
An imported meeting cannot be scheduled for any reason, such as those described in the "Restrictions for Imported Meetings" section.
•
The scheduled start date and time of an imported meeting is in the past.
•
An imported meeting has the same meeting ID as an existing meeting.

Step 5
Click Execute.
Step 6
Click OK to confirm your request to import the meeting records.
Step 7
(Release 1.1.2 and later releases only) The system displays the import status and provides a link to the meeting import log:
•
Click the link to view the import log, which you may print.
•
Click the OK button to close the page.
After you click OK, the meeting import log can no longer be viewed or retrieved.
Step 8
(Release 1.1.1 and earlier releases only) When finished, the system displays a log for the import process:
•
Click Print to print the import log.
•
Click OK to close the page.
After you click OK, the meeting import log can no longer be viewed or retrieved.

Canceling Meetings
This topic describes how to cancel meetings in the Cisco Unified MeetingPlace Express database. Although you can cancel meetings individually in the End-User Interface, you can cancel multiple meetings at one time by following this procedure.
Before You Begin

Step 2
Populate the file with information for those meetings that you want to cancel. See the "About This Page: Meeting Information" section for information on all the fields.
Follow these steps to cancel one or more meetings.
Procedure
Step 1
Log in to Cisco Unified MeetingPlace Express.
Step 2
At the top of the page, click Administration.
Step 3
On the left side of the page:
a.
Click Maintenance.
b.
Click Import Information.
c.
Click Meetings.
Step 4
Enter values in the fields, which are described in the "About This Page: Import Meetings" section. In the Action to perform field, be sure to select Cancel meetings.
Step 5
Click Execute.
Step 6
(Release 1.1.2 and later releases only) The system displays the import status and provides a link to the meeting import log:
•
Click the link to view the import log, which you may print.
•
Click the OK button to close the page.
After you click OK, the meeting import log can no longer be viewed or retrieved.
Step 7
(Release 1.1.1 and earlier releases only) When finished, the system displays a log for the import process:

Importing Cisco Conference Connection Meetings
This topic describes how to import recurring and future meetings from a Cisco Conference Connection database.
Procedure
Step 1
Log in to Cisco Unified MeetingPlace Express.
Step 2
At the top of the page, click Administration.
Step 3
On the left side of the page:
a.
Click Maintenance.
b.
Click Import Information.
c.
Click Cisco Conference Connection.
Step 4
In the Import Cisco Conference Connection Meetings page, enter or change the values in the fields, which are described in the "About This Page: Import Cisco Conference Connection Meetings" section.
Step 5
Click Execute.
Step 6
A dialog box appears that tells you that the meeting records in the files will be used to schedule meetings in Cisco Unified MeetingPlace Express and asks if you want to continue. Click OK.
Step 7
You can open or save the log file you just created. Choose Open. This file shows all the errors that occurred during the file import process. Note that these are not really errors, but rather discrepancies.
