Welcome to the FY23 APJC EN Summit! The event will be held from 15th to 19th May 2023 in Nusa Dua Bali, giving us the chance to get together for the first time since the pandemic.
The APJC and BE teams have put together a rich agenda for the event, so you can expect lots of opportunities to learn, compete and bond with your colleagues across APJC. It’s not going to be all work; we have amazing performances planned by all the theatre teams for the Gala Dinner and there will be some free time for you as well.

All room reservations are to be done via the registration tool as we have secured and committed to a group room block for this event. Please DO NOT make any separate hotel reservation or contact the hotel directly to make changes to your reservation.

*Extension is available to attendees with approved exceptions from Kartika (at personal cost) or attendees that need additional night’s stay due to limited flight options (covered by your department).
Complimentary early check-in or late check-out are subject to availability and granted solely at the hotel's discretion. For guaranteed early check-in, it is advisable to pre-block the previous night at full room charge.
All rooms come with daily breakfast, complimentary internet access and are non-smoking.
Billing
Room and tax charges for 15 – 18 May/19 May (as applicable based on the official check-in and check-out dates above) will be paid on Cisco central master bill; you will NOT be required to make any payment for room and tax charges upon check-out.
However, all incidental charges (e.g. minibar, in-room dining) shall be paid on individual account upon check-out. Upon check-in, you are required to present a credit card for hotel to place a pre-authorisation hold as security deposit for incidental charges. Incidentals are only allowed on arrival and departure days as meals will be provided and for on other days.
Be familiar with the non-reimbursable expenses as these are closely monitored and will not be reimbursed. Attendees are responsible for ensuring only incidental charges incurred on official business basis are expensed against department T&E. It is your responsibility to ensure that the personal incidental charges are not billed to Cisco. Managers are advised to thoroughly check all expenses before approval.
Please submit all FY23 APJC EN Summit related eligible and approved expenses no later than 1 week after the summit (May 26) and label it as an FY23 APJC EN Summit expense. Please send email to Evelyn Poh with a copy or screenshot of the expense claim.

The group room rate that has been negotiated for this event is USD 113 nett per room per night, inclusive of daily breakfast, for Deluxe Garden View room category. This rate will be extended 3 nights pre and post the official event period, subject to availability.
You will be able to request for pre/post extension stay via the registration tool. Please do not contact the hotel directly on your own. Upon receiving your request, GSMM events team will need to check availability with the hotel on your behalf and advise you accordingly. All requests are subject to availability.
Once confirmed, any cancellation or shortening of such pre/post extension stays shall be liable for 100% room charges for the full duration booked.
For cost efficiency, group transfers will be arranged for only specific flights with sufficient threshold of attendees arriving or departing at the same time.
For others, please note that one-way taxi fare between Ngurah Rai International Airport and Courtyard Bali Nusa Dua costs approximately IDR 385,000 (USD 25). For sustainability reasons you are advised to share cabs where possible.

Q: When and where is the event taking place?

A: We will send you an email confirmation as soon as you register.
Q: What if I need to cancel or change my event registration and/or hotel reservation?
A: To cancel your hotel reservation or event registration, contact the events team at apjc-ensummit@cisco.com. Any room change or cancellation must be informed by Friday 28th April 2023.
Q: Are substitutions allowed?
A: No, substitutions are not allowed as the event is by-invitation only.
Q: May I bring a guest? What functions are guests allowed to attend?
A: As this is an official business event, personal guests of Cisco employees (regardless of relationship to employee) are not allowed to attend Cisco-hosted business or social events.
Q: What is the dress code?
A: There is no dress code for the event. Resort casual is recommended. We ask that everyone wear a Batik or Hawaiian-style shirt or dress for the Farewell Gala Dinner. We do recommend that you bring a jacket/sweater and pants for the enablement sessions due to the air-conditioned environment.
Q: What is the time zone in Bali?
A: The time zone in Bali is UTC/GMT +8 hours.

Q: What check-in and check-out dates should I book?
A: Check-in Monday 15th May, check-out Thursday 18th May or Friday 19th May (for leadership planning meeting invitees only).

A:Check-in time is 3:00pm onwards. Early check-in is on a request basis only, non-guaranteed. Check-out is by 12:00pm. Late check-outs are on a request basis, non-guaranteed.

A: Please visit this webpage to find out about Visit Visa Exemption, Visa on Arrival for Leisure Purpose, and arrival protocols. All travellers, regardless of their vaccination status, must download the ‘Satusehat’ mobile app (Apple App Store, Google Play Store) and set up their profile prior to arrival.
Q: Will group airport transfers be arranged for attendees?
A: For cost efficiency, group transfers will be arranged for only specific flights with sufficient threshold of attendees arriving or departing at the same time. Details of the airport transfers schedule will be shared closer to event date.

Q: How long does it take to get to/from the airport?
A: Distance from Ngurah Rai International Airport – 14.4km (Approximately 20 to 30 minutes by car depending on traffic conditions).
Q: Is there any health & safety requirement for this event?
A: The health and safety of event attendees is our top priority. If you are feeling unwell, please refrain from attending the event. At this time, Cisco does not have any health related requirements in place for event attendance. Should this change, we will follow up with updated guidance.
