Update_Variables.fm
You can use this file to update the Book Title, Draft Label, Version, RevisedDate variables in all files of a book in one step, rather than defining them in each file separately. If you have gotten the Color Inconsistency error message, you can also use this file to import the Color Definitions into your book, in order to remedy the error message. This file should not be included in the book or published in Documentum. This file can be used with the supported 7x8.5, 7x8.5NoChap, 8.5x11, Modular, and Online Help templates. This file does not need to be used with the BRM (business reply mail), CD Booklet, Customer Letter, Job Aids, Notes, or Process templates.
Step 1
Create files and generate your book as usual.
Step 2
In this file, double-click on the variable, at the end of this list of steps, that you want to change.
The Variable window appears.
Step 3
Select the desired variable from the list. Click Edit Definition to edit the definition of each variable, then click Change after changing each definition.
For the Book Title variable, enter the name of your book in the Definition box. For feature modules, enter the release number.
For the Draft Label variable, enter the review cycle (in caps), followed by a space character, a hyphen, a space character, and the text "Cisco Confidential" (in caps).
For the Version and Version2 variables, enter the part numbers (optional). If you don't want to use the Version or Version2 variables, enter a non-breaking space character for the definition. For Telco books, enter the part number and date.
For Modular documentation (only) that uses a two- or three-letter module designator in the footer page number, revise the Current Page # variable. Go to the Left Master Page (View>Master Pages), double-click on the "#" character (the Current Page # variable) in the black box, click Edit Definition in the Variable window, and enter the two- or three-letter module designator, followed by a hyphen, before the text <$curpagenum>. Click Edit.

Click on Done, then click on Done again in the main Variable window. (Do not click Replace or Insert in the main Variable window.)
Step 5
Save the file in the same folder as your book. Keep the file open.
Step 6
Select the book file.
Step 7
From the File menu, select Import, then Formats. In the Import Formats window, select the "Update_Variables.fm" file in the Import from Document box.
Step 8
In the Import Formats window, check the Color Definitions and Variable Definitions boxes in the Import and Update box. The other boxes should not be selected.

Note
Do not use the Update_Variables.fm file to update the Book Title variable in split chapter files. When updating the variables from the book, move all split chapter files from the Update scroll box to the Don't Update scroll box.
Step 9
Click on Import. All the files in the book will now have the updated variables.

Update the necessary variables manually in each split chapter file.
Step 10
Save the Update_Variables.fm file in the same folder as your other files so you can use it again to update the Draft Label variable before your files go to print production.
Step 11
Before your files go to print production, use the saved file and repeat steps 2 to 9, changing the definition of the Draft Label variable to contain only a space character. This will eliminate the variable text from the tops of all pages in your book.
