Managing User Accounts
Users of the Digital Media Manager may have various roles and responsibilities, thus requiring different levels of access and permissions. The DMM manages this through the Users module, where user accounts are created and user passwords, permissions, and profiles are administered.
Access the USERS module using the USERS tab on the primary navigation bar or from the Users link on the DMM home page.
Adding a New User
Step 1 Select the USERS tab in the primary navigation bar or the Users link on the DMM Home Page to access the USER ACCOUNTS page (see Figure 3-1)

The Active User list opens displaying all active users in the DMM, alphabetically by User Name.

Table 3-1 describes the contents of the Active User List window.

Description of Active User Fields
Step 2 Select Add New User from the upper right-hand corner of the Active User List window.
The Add New User page opens (see Figure 3-3).

Step 3 Enter the user's First Name. The user's first name appears on the DMM Home page and in approval requests and email notifications.
Step 4 Enter the user's Last Name. The user's last name appears in approval requests and email notifications.
Step 5 Enter the user's Company. This field is optional and for your reference only.
Step 6 Enter the user's Department. This field is optional and for your reference only.
Step 7 Enter the user's Email Address. The user's email is used for approval requests and email notifications.
Step 8 Enter the user's Phone Number. This field is optional and for your reference only.
Step 9 Enter the Login User Name. This field must be unique; it has a maximum length of 50 characters.
Step 10 Select the User Status from the drop-down menu. The default value is Active. Setting it to Inactive stores the new user in the Archived User List on the User Accounts page.
Step 11 Enter the user's Password. The password must be between 8 and 30 characters long, and must contain mixed case letters and a number.
Step 12 Enter the user's Password again to verify the Password authenticity.
Step 13 Select the appropriate Module Access Type permissions for this user by selecting the appropriate checkbox next to each Module Access Type.
Table 3-2,below, describes the Module Access Type categories.

Step 14 Select Save to submit and save the metadata.
The new User just added now appears in the Active User list (if User Status was set to "Active") or in the Archived User list (if the status was set to "Inactive") in alphabetical order by User Name.
Modifying User Accounts
User Account information can be updated at any time. You can either update your own profile information or, if you have Administrator access, you can modify account information for other users.,
Modifying Your Own User Account
Step 1 To modify your own user account information, start with one of the following:
•From the DMM Home page, select the My Profile link in the upper right-hand corner (see Figure 3-4) to access your own User Account information.

OR
•If you have Administrator access, you can modify your own User Account from the User Accounts page by clicking on the Properties Button to the left of your user name (see Figure 3-5).

The Modify Profile window lists your User Account information (see Figure 3-6). The information is separated into three sections, Personal Contact Items, Account Login, and Module Access Types. If you do not have Administrator access, the Module Access Type information is not shown.
If you do have Administrator access, the Module Access Type section is displayed, but it is read-only.
Note You cannot change your own Access privileges. To change your Access privileges, someone else with Administrator access must update your user account.

If the user does have Administrator access, the Module Access Type section is displayed; however, it is read-only.

Step 2 In the Modify Profile page, update any of the information in either or both of the Personal Contact Items and Account Login sections.
Step 3 Click on Save to submit and save all metadata.
The user information you just updated will be effective immediately.
Modifying Another User's Account Information
Note You must have Administrator access in order modify another user's account information.
Step 1 From the User Accounts page, click on the Properties button to the left of the user name whose account is to be modified.
