Integrated Workforce Experience powered by Cisco Quad

In November 2010, Cisco introduced its own software-based enterprise collaboration platform: Cisco Quad. Underlying this platform at Cisco is the development of a transformed way of working that Cisco calls the Integrated Workforce Experience, or IWE. IWE powered by Cisco Quad extends the power of collaboration to employees by combining a foundation of video and unified communications with personalization and relevancy features, applications, and services on the network and integrating them with business and content management systems.

Integral to the IWE environment are collaborative communities created around job and organizational functions, roles, and topics of interest. Members of a community collaborate to achieve their goals, organize and access informational assets and transactional tools, and promote their interests.

Early adopters of IWE span multiple organizations across Cisco including Cisco's Central Development Organization, Customer Value Chain Organization, and Finance teams to name a few. All these organizations who span multiple geographies and time zones, are already benefiting from an IWE environment that enhances their virtual collaboration and improves productivity; provide quick, convenient access to technical experts and knowledge sharing companywide; and inspires new ways of conducting the product development process.

Each year Cisco’s Strategic Leadership Experience brings together senior managers, directors, and executives globalwide. Historically, content for this multiday event was posted and maintained in various locations, using multiple tools, on the company intranet. Communications were mostly handled via emails. Cisco’s internal collaboration platform provides a centralized hub for not only housing pre- and post-event content for easy access by busy executives, but also for disseminating program information and exploring new ways of collaborating for future events.

Cisco’s global data center program requires tight integration and resource alignment among various program pillars and hundreds of employees companywide. The Global Data Center Knowledge Exchange community in IWE provides a centralized, easy-to-access environment for delivering news and program updates, uploading roadmaps, metrics, and other pillar and team resources, and sharing best practices for process improvement and reuse.

Cisco migrated a wealth of global marketing and corporate communications content assets and training resources from numerous locations on its internal website to a single, audience-focused community workspace in IWE. The new environment reduces content development and deployment costs by enabling flexible, real-time content publishing and post capabilities, and provides simple menus to guide teams across the organization to browse and find the latest information they need to do their jobs.
My Expenses Application Transforms User ExperiencePDF file icon (PDF - 312 KB)
The My Expenses application implemented in Cisco’s IWE internal collaboration environment enables employees to create a typical expense report in half the time it takes using the existing expense reporting tool on the corporate intranet. My Expenses integrates with backend infrastructure, complements policy and rule validation performed by the existing tool, and significantly improves the user experience and employee satisfaction when creating expense reports.

The Competitive Selling Community enables an unparalleled level of collaboration among the many cross-functional groups at Cisco involved with competitive selling. The IWE community provides easy, centralized access to competitive resources, and allows users to post and share competitive information on demand, easily contact and interact with SMEs in real time, and discuss selling best practices for individual competitors as they emerge.

Cisco® Workforce Services (WFS), a cross-functional group that came together to redesign and integrate employee services, wanted to transform the Cisco employee paid time off (PTO) request experience, as well as the manager's approval process. Whether paid time off is for a well-deserved vacation, your child's school outing, or an emergency, the process of securing the time off should be quick and easy, according to the group.

The IWE Central Development Organization (CDO) Communications and Collaboration community, with more than 700 members as of October 2010, has become a hub for CDO’s IWE deployment team, IWE community owners, community members, and general IWE users. The community is also a place to share best practices with a large, diverse organization, as well as a collaborative catalyst to improve brainstorming, decision making, and overall work quality.

With the ability to integrate a wide array of tools, resources, and Web 2.0 collaboration technologies all in one community, technical communicators have good reason to join the Central Development Organization (CDO) IWE Information Development Community. Providing a forum for sharing best practices and good ideas across Cisco, it allows individuals with specific expertise to serve as resources to colleagues throughout the world. The community is thriving, and community owners see tremendous benefits from different project tiger teams easily sharing information within the community, eliminating redundancy, sharing lessons learned, and promoting alignment and consistency in technical documentation.

The Cisco Central Development Organization (CDO) specific portal, “Engineering at Cisco,” was a static way to access resources and information needed for daily work activities, but was becoming insufficient to meet the demands of the current and future business environment. With the introduction of IWE, CDO saw an opportunity to transform its collaboration through the development of two specific applications: Electronic Document Control System and Cisco Defects & Enhancements Tracking System. Available to all IWE communities, IWE creates a central place where users can access the applications that they need on a regular basis. These applications allow them to access and share centralized and targeted information quickly, making content more accessible across departments, communities, and theaters.

Cisco Executive Metrics (CEM) is an IWE community that aggregates more than 100 metrics reports and dashboards from across Cisco into a single location for the senior leadership team, which consists of vice presidents and above. Due to the lack of a single solution, the executive experience has been fraught with a large amount of valuable but not always organized data, disparate reporting tools, unsecured emails, unnecessary meetings, and extensive staff preparation time. The CEM community transforms this experience by providing a unified place to globally share sensitive cross-functional information with security on roles and relevance. The improved productivity, internal communication, and organizational alignment all scale to support the Cisco collaboration vision and the Cisco-on-Cisco strategy.

When the Cisco Customer Value Chain Management (CVCM) Global Manufacturing Operations (GMO) reorganized to incorporate a regional operations approach, it implemented a council and board structure to help accelerate communication and collaboration across regional and central teams. They needed a place where they could come together in a virtual environment and collaborate, and chose to leverage an IWE community to host centralized information, keep members updated on events and issues, and increase transparency and alignment.

The Customer Value Chain Management (CVCM) Global Supplier Management (GSM) Optics team needed a flexible way to collaborate, connect, and communicate within the team and across numerous business unit partners. The information and resources they wanted were in a variety of locations, making access difficult and time consuming. The team also needed to transform their business processes to help them become more efficient and productive. Creating the GSM Optics IWE community gave them the ability to bring information and people from multiple sources into one common location, allowing members to consolidate and share information about suppliers in a way that they have never had before. Flexibility and innovative collaboration approaches through their IWE community has increased productivity and has beena success.

The Cisco Customer Value Chain Management (CVCM) organization needed to combine three internal organizations (Product Operations, Global Supplier Management, and Technology and Quality) to better serve internal and external stakeholders. The Product Supplier and Quality Operations (PSQ) community in IWE has made that possible. It provides a central location to easily organize and share information, and span functional contacts and content. It is a collaborative way to efficiently stay current on ideas, activities, and events that are relevant, project-related, or of interest.

The Global Platform for Sales (GPS) community enhanced collaboration for the Worldwide Sales organization by sharing best practices and sanctioned content with cross-functional sales teams across the globe. Being able to share information based on specific job roles and theaters allows the members to navigate to information relevant to their needs, and get what they need to sell a product more efficiently. The community also provides quick access to numerous resources, such as support and program links, in a central location and significantly improves information flow and operational effectiveness.

Thanks to IWE, the Cisco Selling to Small Business (SSB) community was created and is now considered the single source of truth for small business sales. It is a primary hub and cross-functional resource center for small business initiatives, thought leadership, and product launches. This community provides an effective interface to showcase key business resources, business intelligence, and product launches that would otherwise be lost in email or buried in folders and web pages. Although executives do drive content requirements, it is balanced with considerable and growing input from the Worldwide Sales community.

For IT Customer Strategy and Success (ITCS&S), functional-level information is distributed across a variety of locations, including wikis, blogs, and discussion forums, with a strong dependency on email. Multiple methods of communications make daily task management and collaboration cumbersome. The ITCS&S team chose IWE to create a community to bring the team together around their daily activities and consolidate the various communication methods and solutions such as Unified Communications and Data Center, into one location. This helped ensure one workspace that allowed the team to easily understand, access, and contribute information.

The Corporate Communications team reaches beyond the confines of the traditional organizational structure because team members report into different departments. In the past, content sharing, professional development, and collaboration were fairly limited to those sitting within the same department. The launch of IWE was an opportunity to bring this global and virtual team together. The Professional Communicators Network (PCN) community benefits from the creation of a scalable, virtual support network for Cisco communication professionals, regardless of their organizational structure. This IWE feature allows the team to share information, utilize content, and enhance the way collaboration is conceptualized and executed.
