Can I afford an Internet-based accounting solution?

What kind of Internet connection will I need to use these solutions?
It is unlikely that a dial-in modem will be able to supply the bandwidth required to maximize the value of these solutions, but most high-speed connections can. Broadband technologies such as DSL, cable modem, and dedicated connections are ideal, as they will allow information to flow quickly and seamlessly across your organization.

How do I determine which accounting solution is right for my business?
Before selecting a solution, evaluate its flexibility and customizability. You will need to confirm that staff members throughout your organization can use it effectively. Other things you may want to consider:

  • Scalability: Can the product grow as your business grows?
  • Ease of installation: How long will it be before your company begins to benefit from the solution you select?
  • Available training: Does the price tag include the cost of training your staff to use the solution?
  • Ease of maintenance: Can your staff support the solution? If not, does the reseller or developer offer a comprehensive support plan? Is a toll-free number available for troubleshooting questions?

Additionally, you may want to evaluate the customer service level you can expect from the solution providers you review. Ask to speak with current clients to find out whether or not providers took the time to evaluate each company’s business needs before recommending solutions.

How long will my solution take to implement?
As you might expect, the answer to this question depends on the solution you select. System integration can take anywhere from two months to more than a year, depending on complexity. To make sure you are up and running as quickly as possible, ask your system integrator if you can implement parts of your system now. You can then add capabilities to this functioning foundation over time.

Are these products designed to meet government regulations for businesses?
Generally Accepted Accounting Principles (GAAP) are widely accepted guidelines, rules, and procedures for reporting financial information. Determine if the features of the product you are considering can perform bookkeeping that complies with these standards. If someone outside your business prepares your company’s taxes, you may also want to have that person review product features.

How do these applications handle security?
Security measures may vary by product, but make sure your confidential data is protected from threats originating both inside and outside your company. For instance, your solution may enable employees to change personal information such as 401k distributions or mailing addresses. They should not, however, be able to access or manipulate information about any other employee.

Outside your company, you will want to verify that the implementation will provide users with a secure connection to your database. This should include a review of your company firewalls for holes. If you are working with an ASP, find out how it protects its setup.

Where do I go to find an ASP?
There are numerous businesses entering the ASP field. To start your search, you may want to contact your ISP, VAR, or telephone company. In addition, you may have a dedicated ASP in your area. In some cases, the product developers may offer to host and manage your application. Each ASP may offer different services. One may provide only hosting while another may offer business consulting, installation, and system management.
