About User Management
Cisco Unified MeetingPlace Release 8.5 supports two types of user management. Your user management type depends on your deployment type and whether your installation of Release 8.5 is a new installation or a migration from a previous release.

WebEx-Driven User Management
WebEx-driven user management (WebEx-managed) is an on-demand user profile synchronization process in which user profiles are copied to Cisco Unified MeetingPlace, as needed, to run meetings.
How WebEx-Managed Systems Work
•
The Cisco WebEx site randomly generates an 8-digit profile number for each profiled user.
Users require their profile number to start MeetingPlace personal conferences (reservationless meetings), and to dial in to scheduled meetings as profiled users. Meeting hosts may also require their PIN when dialing in to scheduled meetings.
•
The first time users sign in to their Cisco WebEx accounts, they are prompted to reset their Cisco Unified MeetingPlace PINs.
•
Once users reset their PINs, their profiles are created in the Cisco Unified MeetingPlace directory.
•
The Cisco Unified MeetingPlace directory is maintained through the Cisco WebEx Site Administration center.
WebEx-managed profiles is the default configuration for new installations of Cisco Unified MeetingPlace Release 8.5 that are deployed with WebEx-driven user management. You may also have WebEx-managed profiles if you are migrating from a deployment that was configured for WebEx-scheduling without Directory Services integration.
We recommend WebEx-managed profiles for all customers who integrate Cisco WebEx with Cisco Unified MeetingPlace audio, beginning with Release 8.5. However, we do not recommend switching from MeetingPlace-managed to WebEx-managed on the same Cisco Unified MeetingPlace system due to differences in user experience.
Note
•
Changes made to a user profile setting in the Cisco WebEx Site Administration are not automatically propagated to the corresponding profile in the Cisco Unified MeetingPlace database. Users can manually synchronize their profiles by clicking the Sync button on their Cisco WebEx Personal Conferencing page.
•
You can create local profiles with Admin or Attendant privileges. However, if the same user name already exists in the MeetingPlace database, you will not be able to synchronize the profile.
•
The PIN minimum length and PIN expiration date is controlled on the Cisco Unified MeetingPlace Administration Center (System Configuration > Usage Configuration). The expiration date is controlled through the Change Profile PIN (days) field. The default is 90 days.
•
Changes that are made to the PIN minimum length or PIN expiration date on the Cisco Unified MeetingPlace side are not propagated to Cisco WebEx until you click Configure WebEx on the Cisco WebEx Site Configuration page. You can find this page on the Cisco Unified MeetingPlace Administration Center (Cisco WebEx Configuration > Cisco WebEx Site Configuration).
•
For Cisco Unified MeetingPlace deployments with WebEx integrations, one way to increase the security of user accounts on the WebEx site is to check the password change required every `x' days check box and check the force update on next login check box. Both the password change required every 'x' days and force update on next login are global settings (meaning you cannot set these options on a user by user basis) that apply to end user, local administrator, and administrator accounts used by the integration (such as the MeetingPlace administrator account). If the force update on next login check box is checked for the user accounts on the WebEx site, the Cisco Unified MeetingPlace server cannot send configuration updates to the WebEx site until the MeetingPlace administrator user password is updated or the administrator unchecks the force update on next login check box. You can check and uncheck these options on the Cisco WebEx Site Configuration page. You can find this page on the Cisco Unified MeetingPlace Administration Center (Cisco WebEx Configuration > Cisco WebEx Site Configuration).
Profile Management Options with WebEx-Managed Profiles
There are four methods you can use as a Cisco WebEx Administrator to manage profiles if your system is configured for WebEx-managed profiles:
1.
Manually create user profiles

Enable users to sign up for their accounts on the Cisco WebEx home page

3.

4.
(Recommended) WebEx Federated SSO

This method supports automatic account creation enabled from your LDAP.
–
Used for password authentication.

You must enable this option on the Cisco WebEx Site: http://developer.webex.com/web/meetingservices/sso

Automatic Audio-Only Account Updating
Note
This feature applies to Release 8.5.2 and later.
Profiles that are configured as Audio Only are automatically updated from the Cisco WebEx Site Administration to the Cisco Unified MeetingPlace Administration Center. This feature is applicable only on systems that are configured for both WebEx-scheduling and WebEx-driven user management.

MeetingPlace-Driven User Management
With MeetingPlace-driven user management (MeetingPlace-managed), user profiles are added locally to the Cisco Unified MeetingPlace system or are synchronized from Directory Services.
•
If your site is configured to use the Directory Service feature, Cisco Unified MeetingPlace users are imported from Cisco Unified Communications Manager and are authenticated by Cisco Unified Communications Manager or by an LDAP directory that is integrated with Cisco Unified Communications Manager.
•
Individual user profiles are automatically imported or updated from Cisco Unified MeetingPlace to Cisco WebEx when the user signs in to Cisco WebEx or launches a Cisco WebEx meeting.
•
Single sign-on (SSO) is implemented, where:
–
Users sign in via the Cisco Unified MeetingPlace Application Server.
If a user tries to sign in directly to the Cisco WebEx site, the user is redirected to the Cisco Unified MeetingPlace Application Server to sign in.
–
If you click one of the Cisco WebEx Site Administration URL links in the Cisco Unified MeetingPlace Administration Center, you are automatically signed in to the Cisco WebEx Site Administration.
MeetingPlace-managed profiles is the default configuration for new installations of Cisco Unified MeetingPlace Release 8.5 that are audio-only. You may also have MeetingPlace-managed profiles if you are migrating from a previous release that was configured for one of the following:
•
Audio-only deployment
•
MeetingPlace-managed
•
WebEx-driven user management with Directory Services integration
MeetingPlace-managed profiles are not available for new installations of Cisco Unified MeetingPlace Release 8.5 that are configured for WebEx integration.

Note
This section applies to systems configured for MeetingPlace-managed profiles. If your deployment is configured for WebEx-managed profiles, see the Cisco WebEx Site Administration User's Guide available from your WebEx site for information about any user profile requirements or restrictions.
If you have MeetingPlace-managed profiles, note that the following Cisco Unified MeetingPlace user profile fields have different restrictions or requirements when the system is integrated with Cisco WebEx:
•
First name and Last name—Required fields.
•
Username—Do not modify this field in an existing user profile. Doing so disables future sign-ins to Cisco WebEx by the user. Also, special characters such as !@#$%^&() are not supported.
•
Username and User password—Avoid using diacritical or non-English characters in these fields. Doing so restricts the user from joining the web meeting directly after sign in; instead, the user is sent to the Cisco WebEx site and can join the meeting indirectly from there.
•
Email address—Required field. Maximum 64 characters. Must be unique on the Cisco WebEx site.
•
Main phone number and Alternate phone number—Maximum 30 characters.
•
Language—See which languages are supported for your specific deployment in the Planning Guide for Cisco Unified MeetingPlace.

Profile Synchronization Between Cisco WebEx and Cisco Unified MeetingPlace
Profile information is synchronized between the Cisco WebEx and Cisco Unified MeetingPlace systems whenever users either reset their PINs or click the Sync button on their Cisco WebEx Personal Conferencing page. Profile synchronization is subject to the following rules:
•
When user profiles are synchronized from Cisco WebEx to Cisco Unified MeetingPlace, all users are imported as End user type with End User privileges regardless of which user type they were in Cisco WebEx.
–
The user type is not configurable.
•
If your deployment is configured for WebEx-scheduling, you can still create System administrator and Attendant profiles on Cisco Unified MeetingPlace:
–
Profiles you create on Cisco Unified MeetingPlace are indicated as MeetingPlace-managed profiles.
–
These profiles will not have corresponding profiles on the Cisco WebEx system.
–
You can use these profiles for local Administrative or Attendant tasks, such as managing the Cisco Unified MeetingPlace system or monitoring meetings through MeetingPlace Conference Manager.
–
These profiles cannot be used to host Cisco WebEx meetings.
–
Make sure that you do not replicate the username that you used for a Cisco Unified MeetingPlace profile on Cisco WebEx. If a user with a matching username attempts to synchronize his profile from Cisco WebEx by clicking the Sync button, the action will fail and the profile will not be synchronized with Cisco Unified MeetingPlace.
•
When you view a WebEx-managed user profile in either the Cisco Unified MeetingPlace Administration Center or MeetingPlace Conference Manager, you will notice that fields that have been synchronized with a Cisco WebEx user profile are disabled. All other user profile fields are editable.
–
Certain fields that exist on both Cisco Unified MeetingPlace and Cisco WebEx are not currently synchronized.
–
To synchronize these fields, you can manually add matching values from Cisco WebEx to Cisco Unified MeetingPlace.
–
All remaining editable fields on the User Profile page of the Cisco Unified MeetingPlace Administration Center apply to Cisco Unified MeetingPlace only.
–
Fields that are applicable to reservationless meetings only are indicated with a telephone icon.
Temporary User Profile
If profile information is not successfully synchronized from Cisco WebEx to Cisco Unified MeetingPlace, Cisco Unified MeetingPlace uses the concept of a temporary user profile to ensure that users who sign into Cisco WebEx and schedule a meeting still have immediate access to the web, audio, and video components of their meetings.
Temporary user profiles work as follows:
•
A user schedules a meeting from Cisco WebEx.
•
Cisco Unified MeetingPlace uses information from the scheduling request to create a temporary user profile.
•
A temporary user is identified in the Cisco Unified MeetingPlace system as follows:
–
Username = Cisco WebEx username
–
First name = tempUser
–
Last name = Cisco WebEx username
•
When the user resets his PIN or selects the Sync button on the Personal Conferencing page, his user profile is synchronized and the temporary user information is overwritten with the synchronized user information.
Note
•
Temporary user profiles are created only when a user attempts to start a meeting from Cisco WebEx before his profile has been synchronized from Cisco WebEx to Cisco Unified MeetingPlace.
•
Users cannot dial in to meetings as profiled users until their PINs are established on Cisco WebEx.
•
Users cannot schedule their own meetings from the phone until their PINs are established on Cisco WebEx.
Audio/Video Settings
•
Audio/video permissions for profiles that are pushed from Cisco WebEx to Cisco Unified MeetingPlace default to those found in the Guest user account.
•
Make sure that you assign Cisco Unified MeetingPlace audio privileges to all users from the Cisco WebEx Site Administration.
About Deleting or Deactivating Profiles
•
If you delete a user profile in Cisco Unified MeetingPlace, the corresponding user profile in Cisco WebEx is not deleted or immediately deactivated. You can manually deactivate the user profile through the Cisco WebEx Site Administration, or you can ask your Cisco WebEx administrator to configure your Cisco WebEx site to deactivate accounts after a specific period of inactivity. Cisco WebEx user profiles cannot be deleted.
•
Similarly, if you deactivate a user profile in Cisco WebEx, the corresponding user profile in Cisco Unified MeetingPlace is not deleted. You must manually delete or deactivate the user profile through the Cisco Unified MeetingPlace Administration Center or MeetingPlace Conference Manager.

Modifying Your Cisco WebEx Site Administrator Account
This task is typically performed only when you need to modify the email address for receiving Cisco WebEx administration messages.
Before You Begin

Procedure
Step 1
Sign in to http:site-name.webex.com/admin.
Step 2
Select Edit User List.
Step 3
Find your user account.
This is the account you configured in one of the following tasks:
•

•
Setting Up the Administrator Account on the Cisco WebEx Site for MeetingPlace-Scheduling Deployments in the Integrating MeetingPlace-Scheduling Deployments with Cisco WebEx module
Step 4
Select the name for that user account.
Step 5
Modify the account information.
Step 6
Select Update.
About Dual Audio Support
Release 8.5 supports the Dual Audio feature, which allows for the provisioning of Cisco WebEx profiles with two default audio providers. Possible provisionings are as follows:
•
WebEx audio + Cisco Unified MeetingPlace Release 8.5 audio
•
TSP audio + Cisco Unified MeetingPlace Release 8.5 audio
This feature also supports audio default provisioning by session type, for example, Event Center using WebEx audio by default, and enhanced SNMP events and multinode reporting.
Multinode reporting is supported on WebEx-scheduling deployments only.
Dual audio support requires Cisco WebEx Business Suite (WBS) 27 FR26 and later.
Note
WebEx audio and SP TSP audio on the same Cisco WebEx site are not supported.
Modifying Audio Privileges for All Users
Before You Begin
You perform this task in the Cisco WebEx Site Administration. Because the site may vary by Cisco WebEx release, you may need to check the Cisco WebEx documentation for step-by-step instructions for your specific release.
Step 1
Sign in to http:site-name.webex.com/admin.
Step 2
Select Edit Privileges.
Step 3
Navigate to the teleconference section that you want to modify (WebEx teleconference service privileges or Cisco Unified MeetingPlace privileges).
Step 4
Choose to enable or disable options.
Step 5
Select Submit.
Modifying Audio Privileges for Select Users
Before You Begin
You perform this task in the Cisco WebEx Site Administration. Because the site may vary by Cisco WebEx release, you may need to check the Cisco WebEx documentation for step-by-step instructions for your specific release.
Step 1
Sign in to http:site-name.webex.com/admin.
Step 2
Select Edit User List.
Step 3
Find the user profile that you want to edit.
Step 4
Scroll down to the Telephony Privilege section and check or uncheck options.
Step 5
Select Submit.
Step 6
Repeat Step 3 to Step 5 for each user profile that you choose to modify.
Disabling Voice Over IP (VoIP) When Using Cisco Unified MeetingPlace Audio
If you are using Cisco Unified MeetingPlace audio, you must manually disable VoIP in the Cisco WebEx Site Administration center. During a conference, users who have Cisco Unified MeetingPlace audio configured will not be able to hear users who have VoIP configured.
Procedure
Step 1
Sign in to the Cisco WebEx Site Administration center.
Step 2
Select Manage Site > Site Settings.
Step 3
Select Common from the Site Settings for drop-down list.
Step 4
Find the Default site audio options in the Default Scheduler Options section and uncheck Integrated VoIP Teleconference.
Step 5
Select Update.
Configuring End-to-End Encryption for Cisco WebEx Meetings
Restrictions
•
If end-to-end encryption is enabled on the Cisco WebEx site, then the meeting owner (host) must join to start each meeting, even if the meeting does not use end-to-end encryption. Other users, including alternate hosts, cannot join a meeting before the host.
•
Cisco WebEx Network-Based Recording (NBR) is not supported in end-to-end encrypted meetings:
–
The audio portion of the end-to-end-encrypted meeting cannot be recorded.
–
The web portion of the end-to-end-encrypted meeting can be recorded only if users select the PC-based recording option.
•
(MeetingPlace-managed deployment) Continuous web meetings are not supported when end-to-end encryption is enabled on the Cisco WebEx site. Audio-only continuous meetings are not affected by this restriction.
•
If your Cisco WebEx Administrator enables end-to-end encryption on the Cisco WebEx site, but you disable end-to-end encryption for any or all users via the Cisco WebEx Site Administration:
–
Other users, including alternate hosts, still cannot join meetings before the host.
–
NBR will be available to the users for whom you disabled end-to-end encryption.
Procedure
Step 1
Have your Cisco WebEx administrator enable or disable end-to-end encryption for the entire Cisco WebEx site.
Step 2
(MeetingPlace-managed deployment) On the Web Server, restart the Cisco Unified MeetingPlace Web Master Service to update the site settings cache.

Deactivating Cisco WebEx User Profiles
Before You Begin
You perform this task in the Cisco WebEx Site Administration. Because the site may vary by Cisco WebEx release, you may need to see the Cisco WebEx documentation for step-by-step instructions for your specific release.
•
If you delete a user profile in Cisco Unified MeetingPlace, the corresponding user profile in Cisco WebEx is not deleted or immediately deactivated. You can manually deactivate the user profile through the Cisco WebEx Site Administration, or you can ask your Cisco WebEx administrator to configure your Cisco WebEx site to deactivate accounts after a specific period of inactivity. You cannot delete user profiles from Cisco WebEx.
•
When you deactivate a user profile from the Cisco WebEx Site Administration, the corresponding profile is not automatically deleted from the Cisco Unified MeetingPlace database. To remove deactivated profiles, go to the Cisco Unified MeetingPlace Administration Center and manually delete them.
Procedure
Step 1
Sign in to http:site-name.webex.com/admin.
Step 2
Select Edit User List.
Step 3
Find the user profile that you want to deactivate.
Step 4
Uncheck Active for that user profile.
Step 5
Select Submit.
Step 6
Repeat Step 3 to Step 5 for each user profile that you want to deactivate.

Information About Failover in Cisco WebEx Integrations
Multinode systems use a primary and secondary Meeting Director node for failover purposes. The primary server is connected to the primary TSP and the secondary server is connected to the backup TSP. If a Meeting Director node detects that a connection to a TSP is lost, it automatically sends meetings to the other TSP.

This topic applies only if you deploy two or more Cisco WebEx Nodes on premises.
If a Cisco WebEx Node goes down:
•
Any traffic on the Cisco WebEx Node for internal meetings is automatically taken over by the next available Cisco WebEx Node.
•
Any traffic on the Cisco WebEx Node for external meetings is automatically taken over by the Cisco WebEx Collaboration Cloud.
•
Any sharing and recording on the Cisco WebEx Node will be stopped, and users will have to restart sharing and recording the meetings.

Callback to an Internal Number
The Cisco WebEx T28.1 feature release provides a new CallBack field that allows end-users to use abbreviated dialing when calling an IP phone on an internal network for Cisco Unified MeetingPlace integrated systems.
Once the feature is configured, users can choose to have the system call them at an internal number.
•
There is no formatting applied to the number
•
There are no restrictions on the number length
•
Users have the option of setting the system to remember the number for future use
Enabling this feature consists of two parts:
1.
Configuring the Cisco WebEx Site Administration for Internal Number Callback
2.
Configuring your SIP trunks to dial the appropriate number when they receive a callback request
After enabling this WebEx Site configuration the system will append the digits "9999" as a default country code to the beginning of any number users enter. You must configure your SIP trunks in Unified Communications Manager to subsequently strip these digits and process the actual phone number properly.
Configuring the Cisco WebEx Site Administration for Internal Number Callback

Step 1
