Profiled users can schedule meetings to begin immediately or sometime in the future. System administrators can control the overall scheduling parameters from the Cisco Unified MeetingPlace Administration Center.

Configuring Media Resources for Scheduled and Reservationless Meetings
Follow this procedure to define the audio and video resources needed and to enable the video preferences for a user group or a user profile.
Before You Begin
•
To determine the port and capacity settings for your system, see the Planning Guide for Cisco Unified MeetingPlace at http://www.cisco.com/en/US/products/sw/ps5664/ps5669

Install the appropriate licenses. See the Installing and Managing Licenses for Cisco Unified MeetingPlace module.
•
(Express Media Server only) If you want to configure media resources for both ad-hoc conferences and for scheduled and reservationless meetings, see the Configuring Ad-Hoc Conferencing for Cisco Unified MeetingPlace module.
Restrictions
•
(Express Media Server only) Use this page to add a new video type. You can modify only the video types that you add to the system. You cannot modify the preconfigured ones.
•
(Hardware Media Server only) You cannot modify preconfigured video types or create new video types.
•
(Express Media Server only) For failover restrictions, see Restrictions for Application Server Failover in the Configuring Application Server Failover for Cisco Unified MeetingPlace on MeetingPlace-Scheduled and Audio-Only Deployments module.
Procedure
Step 1
Sign in to Cisco Unified MeetingPlace Administration Center.
Step 2
Select System Configuration > Media Resource Configuration.
Step 3
Configure the fields.
Step 4
Select Save.
Step 5
(Express Media Server only) Add a new video type as required.
a.
Select System Configuration > Video Type Management.
b.
Select Add New or Edit next to the video type that you want to modify.
Note
You cannot edit the default video types. You can only edit video types that you have added to the video type management list.
c.
Select Save.
Step 6
Enable video usage and preferences for a group:
a.
Select User Configuration > User Groups.
b.
Select Edit or Add New, depending on whether you want to configure an existing or a new user group.
c.
Select an option for Can host audio/video meetings:
–
Can attend only—enables the user to attend audio and video meetings as a participant, but the user cannot schedule meetings. If you select this option, go to Step 6f.
–
Can host audio meetings—enables the user to attend audio and video meetings as a participant, but the user cannot schedule meetings that allow video participants. If you select this option, go to Step 6f.
–
Can host audio and video meetings—enables the user to attend audio and video meetings as a participant. The user can schedule video-enabled meetings, which means that video participants can attend. When you select this option, the settings in the Video Preferences section become available.
d.
Scroll to the Video Preferences section.
e.
Select a group default from the Available video types.
Note
The system applies the video selection on a per-meeting basis.
f.
Select Save.
Step 7
Enable video usage and preferences for a user profile.
a.
Select User Configuration > User Profiles.
b.
Select Edit or Add New, depending on whether you want to configure an existing or a new user profile.
c.
Select an option for Can host audio/video meetings:
–
Can attend only—enables the user to attend audio and video meetings as a participant, but the user cannot schedule meetings. If you select this option, go to Step 6f.
–
Can host audio meetings—enables the user to attend audio and video meetings as a participant, but the user cannot schedule meetings that allow video participants. If you select this option, go to Step 6f.
–
Can host audio and video meetings—enables the user to attend audio and video meetings as a participant. The user can schedule video-enabled meetings, which means that video participants can attend. When you select this option, the settings in the Video Preferences section become available.
d.
Scroll to the Video Preferences section.
e.
Select video types from the Available on the system list and move them to the Available to the user list by clicking the right arrow.
Select user-specific video types if the Group default video type is not available in the list.
If the Group default video type is available, it becomes the default for the user when you make it first in the Available to the user list.
Note
The system applies the video selection on a per-meeting basis.
f.
Select Save.
Step 8
Check for configuration problems by selecting Services > Alarms.

Configuring Voice Activity Detection
Note
VAD is supported on systems configured to use the G.711 codec.
You can configure Voice Activity Detection (VAD) to ensure that comfort noise is played during conferences when none of the participants are speaking. You must use the taccli command to start VAD for comfort noise to be played.
Note
If you restart your system, you must reenable VAD.
Procedure
Step 1
Log in to the Application Server command-line interface as the mpxadmin user.
Step 2
Enter taccli.
CLI to mixer queue created, Queue ID=0x12340001
Use cntl-C or option 7 to terminate.

Enter 25, to set the VAD testing option.
Step 4
At the VAD testing options prompt, enter -1 for all channels.
Step 5
Enter 1 to set the enable/disable flag for VAD to enable.
VAD is enabled for all channels.
Step 6
Enter 7 or Ctrl-C to exit taccli and return to the Cisco Unified MeetingPlace command line.
Step 7
For multinode systems, repeat this procedure for each node on your system.

Configuring Reservationless Meetings
Reservationless meetings begin immediately and have these special characteristics:
•
Anyone can join a reservationless meeting, unless a meeting password is in use.
•
Anyone can access reservationless meeting recordings on MeetingPlace-scheduled and audio-only systems. On WebEx-scheduled systems, you must start and record reservationless meetings using Cisco WebEx.
•
Your meeting ID is the Profile number of the meeting owner.
•
A meeting instance is created on demand when someone joins a meeting with a reservationless meeting ID. The meeting is terminated immediately when the last participant leaves.
•
By default, the meeting subject is the Last name of the meeting owner.
•
The system treats each instance of a reservationless meeting as a separate entity with its own unique conference ID, displayed as ConfNum in reports and exported data.
•
Participants who join a reservationless meeting before the owner does are placed in a waiting room (where they cannot communicate with each other) until the meeting owner arrives, unless these statements are true:
–
The Allow any profiled user to initiate field on the Usage Configuration Page is set to Yes.
–
A profiled user starts the meeting from the telephone user interface (TUI).
Restrictions
•
Because meeting IDs cannot be longer than 17 digits in deployments that use Cisco Unified MeetingPlace scheduling, users with Profile numbers longer than 17 digits cannot own reservationless meetings.
•
Reservationless meeting IDs are permanently reserved and cannot be used for scheduled meetings.
•
Email notifications are not sent for reservationless meetings.
•
The system does not call out to endpoints, including video terminals, even if they are invited unless their user or group profile Method of attending is configured for Have system find user.
Before You Begin
•
Reservationless meetings are enabled by default. Therefore, you need to perform this task only in these cases:
–
If you want to disable reservationless meetings either system-wide or for specific users.
–
If you previously disabled reservationless meetings and want to reenable them.
•
Many fields on the Meeting Configuration Page apply to reservationless meetings. Complete the "Configuring System-Wide Meeting Parameters" section.
Procedure
Step 1
Sign in to the Administration Center.
Step 2
Enable reservationless meetings on the system:
a.
Select System Configuration > Usage Configuration.
b.
Set the Enable reservationless meetings field to Yes.
c.
(Optional) Configure these fields:
–
Allow any profiled user to initiate
–
Bill initiator
–
Phone menu is reservationless only
–
Owner can press 2 in TUI to initiate
Step 3
Enable reservationless meetings for users:
a.
Select User Configuration.
b.
Select User Groups or User Profiles, depending on whether you want to configure a user group or an individual user profile.
c.
Select Edit or Add New, depending on whether you want to configure an existing or a new user group or user profile.
d.
Set the Use reservationless field to Yes.
e.
(Optional) Configure these user profile fields:
–
Show reservationless meetings in public listing
–
Reservationless allow Internet access
–
Meeting password required
f.
Select Save.
g.
Repeat Step 3 for all user groups and user profiles for which you want to enable reservationless meetings.

Requiring a Password to Join a Reservationless Meeting
When a host initiates a reservationless meeting from a waiting room (by pressing 2), attaching a password to this reservationless meeting is optional, even if Meeting Password Required is set to Yes. However, you can force the system to require a host to attach a password to reservationless meetings by creating a forcepasswordforpersmtg file on the Cisco Unified MeetingPlace server. When the forcepasswordforpersmtg file is in place, users are required to enter a password to join the audio portion of reservationless meetings (meaning the waiting room no longer exists).
Procedure
Step 1
Log in to the Application Server command-line interface as the mpxadmin user.
Step 2
Enter su - to gain root permission to the root's home directory.
Step 3
Enter cd / lat.
Step 4
Enter mkdir etc to create a new directory.
Step 5
Enter chmod 777 etc to allow you to have read, write, and execute permission in this directory.
Step 6
Enter cd etc to access the directory.
Step 7
Enter touch .forcepasswordforpersmtg to create the blank file required to force a user to enter a password.
Step 8
Enter chmod 666 forcepasswordforpersmtg to allow read and write access to this file.
Step 9
Enter mpx_sys restart to restart the server.

Configuring Continuous Meetings
A continuous meeting is a type of scheduled, recurring meeting that reserves the meeting ID and ports indefinitely, so that participants can join the meeting at any time on any day. These special characteristics apply to continuous meetings:
•
A continuous meeting is active only when at least one participant is in the meeting.
•
The system treats all instances of a continuous meeting as a single entity with common unique conference ID, displayed as ConfNum in reports and exported data.
•
Continuous meeting information does not appear in reports or exported data until after the meeting becomes empty.
•
Billing reports do not count the minutes during which continuous meetings are empty.
Restrictions
•
Only System administrators can schedule continuous meetings.
•
Continuous meetings cannot be recorded.
•
A maximum of 1,000 continuous meetings can be scheduled on the system.
•
Continuous meetings cannot expand port reservations as users join. If all the reserved ports for a continuous meeting are in use, additional users can join the meeting only if floater ports are available. This restriction applies to audio and video ports.
You cannot choose the number of ports so all continuous meetings have zero ports. This ensures that no resources are held when the meeting is not active.
•
In Cisco Unified Communications Manager environments, the length of each call is also limited by the Maximum Call Duration Timer service parameter in Cisco Unified Communications Manager. Continuous meeting participants whose calls are dropped for this reason can immediately rejoin the meeting.
We recommend that you disable the Maximum Call Duration Timer by setting it to 0. See Configuring the Maximum Call Duration in Cisco Unified Communications Manager in the Integrating Cisco Unified MeetingPlace with Cisco Unified Communications Manager module.
•
Continuous meetings are not supported on WebEx-scheduled deployments.
Before You Begin
Complete the "Configuring System-Wide Meeting Parameters" section.
Note
By performing this task, you grant System administrator privileges to the specified users.
Procedure
Step 1
Sign in to the Administration Center.
Step 2
Select User Configuration > User Profiles.
Step 3
Select Edit or Add New, depending on whether you want to configure an existing or a new user group or user profile.
Step 4
Set the Type of user field to System administrator.
When this user schedules a meeting and selects Recurrence, the Continuous option appears in the Frequency drop-down list.
Step 5
Select Save.
Step 6
Repeat Step 2 through Step 5 for all user profiles for which you want to enable the scheduling of continuous meetings.

Enabling and Disabling Phone Features
Procedure
Step 1
Sign in to the Administration Center.

Before You Begin
You must enable Quality of Service (QoS) in your network to minimize IP packet loss, packet delay, and delay variation (or jitter) of voice packets. In particular, you must enable Differentiated Services Code Point (DSCP), also called DiffServ, which is the QoS mechanism supported by Cisco Unified MeetingPlace.
Note
The Cisco Unified MeetingPlace default DiffServ settings conform to the recommendations in the Cisco Unified Communications Solution Reference Network Design (SRND). If your network already conforms to these recommendations, no QoS configuration is required.
Procedure
Step 1
Sign in to the Administration Center.
Step 2
Select System Configuration > Call Configuration > Media Parameters.
Step 3
Configure the fields on the Media Parameters Page.
Step 4
Select Save.

Configuring QoS with custom DSCP values for the GWSIM Protocol
Cisco Unified MeetingPlace does not apply any custom DSCP values. A DSCP value of 0 is used by the system. You can configure custom DSCP values manually after you install Cisco Unified MeetingPlace.
GWSIM protocol is an internal Cisco Unified MeetingPlace protocol used for communication between applications and scheduling the (MPWeb) server.
Procedure
Step 1
Log in to the command line on your Cisco Unified MeetingPlace system.
Step 2
Enter the following:
vi /opt/cisco/meetingplace/meetingplace.profile
Step 3
Locate and remove the comment tags on the line that defines DSCP value for GWSIM:
Step 4
Save and exit
Step 5
Restart Cisco Unified MeetingPlace by entering the following:
/etc/init.d/mpx_app restart
Step 6
On the MPWeb server (GWSIM packets going from MPWeb server to the application server):
•
If MPWeb is running on VMWare ESXi, make sure that the network adapter type defined for your virtual machine is set to Flexible. If E1000 is used, packets with a DSCP value different than 0 will not be passed through. In that case, please remove the E1000 adapter from the virtual machine configuration and add a new virtual machine with the type set to Flexible. Configure the network with the same parameters used on the first adapter.
•
Make sure the QoS Packet Scheduler service is installed (and enabled) for the LAN Network Connection which is used on MPWeb server. If not, install it by selecting Control Panel > Network Connections > Local Area Connection > Properties > Install > Service > Add.
•
Start regedit and add the following key to the registry:
HKEY_LOCAL_MACHINE\SOFTWARE\Latitude\MeetingPlace Gateway SIM\FlowSpec
Step 7
Add DWORD value, ServiceType, to the key from your virtual machine and set it to one of the following Windows supported service types:

You can optionally configure several other FlowSpec parameters by adding corresponding DWORD values to the FlowSpec key you configured above.

The only required value for enabling DSCP on MPWeb server is ServiceType. If any of the remaining parameters is not configured in the registry (because the corresponding value does not exist), a default value of QOS_NOT_SPECIFIED will be used. The only exception to this is TokenRate (which does not accept QOS_NOT_SPECIFIED) that uses 10000 as its default value.

Step 9
Configure a default DSCP value for the service type you configured above in Local Computer Policy. Use the gpedit.msc utility and edit the corresponding value in Local Computer Policy > Computer Configuration > Administrative Templates > Network > QoS Packet Scheduler > DSCP value of conforming packets. For example, if ServiceType is set to 3 (Guaranteed), then change Guaranteed service type and set its DSCP value to 16 (or any other custom value).
Step 10
Restart MPWeb and GWSIM services by selecting Administrative Tools > Services, in the following order:
•
Stop Cisco Unified MeetingPlace Web Master Service.
•
Restart Cisco Unified MeetingPlace Gateway SIM' service.
•
Start Cisco Unified MeetingPlace Web Master Service.
Configuring Recorded Names
You can set your system to record the names of meeting attendants and to play the recorded names of the attendants upon entry and departure from a conference.
Procedure
Step 1
Sign in to the Administration Center.
Step 2
Select System Configuration > Usage Configuration.
Step 3
Set Disable recorded names to No.
Step 4
Select User Configuration > User Profiles.
Step 5
Select Add New to configure a new user or the Edit link for an existing user.
Step 6
Set Entry announcement and Departure announcement to Beep + name.
Step 7
Sign in to your Cisco WebEx site administration page and set Default Scheduler Options to Announce name.
Configuring Meetings on MeetingPlace-Scheduled and Audio-Only Deployments
The following features are available only on MeetingPlace-scheduled and audio-only deployments:

Procedure
Step 1
Sign in to the Administration Center.
Step 2
Select System Configuration > Usage Configuration.
Step 3
In the 24-hour time field, select Yes to display meeting times by a 24-hour clock or select No to display meeting times by a 12-hour clock.

Configuring Meeting Categories on MeetingPlace-Scheduled and Audio-Only Systems
You can use meeting categories to help you organize reports. The system comes with a preconfigured meeting category named Standard that cannot be deleted.
As the system administrator, you can add meeting categories and assign a default meeting category to each user group or user profile. You can also enable users to specify the meeting category for each meeting they schedule. Users can use meeting categories to find meetings.
Procedure
Step 1
Sign in to the Administration Center.
Step 2
Add or edit a meeting category:
a.
Select System Configuration > Meeting Categories.
b.
Select Add New, or select an existing meeting category.
c.
Configure the fields.
d.
Select Save.
e.
Repeat Step 2 as required.
Step 3
Assign a default meeting category to a user group or user profile:
a.
Select User Configuration.
b.
Select User Groups or User Profiles, depending on whether you want to configure a user group or an individual user profile.
c.
Select Edit or Add New, depending on whether you want to configure an existing or a new user group or user profile.
d.
Configure the Default meeting category field.
e.
Select Save.
Step 4
Show or hide the Meeting Category option on the user web scheduling page:
a.
Sign in to the Cisco Unified MeetingPlace web user portal by using your administrator-level profile.
a.
Select Admin.
b.
Select User Interface Fields.
c.
Select Scheduling Details Page.
d.
Enable or disable the meeting category field.
The settings are automatically saved.
