This section describes how to use the features in the Cisco Unified MeetingPlace web meeting room. Displaying or Clearing an Icon Next to Your Name
By default, your status in the Participant List tool is blank. However, you can change your status to indicate that you have a question or an issue with the presentation. When you select a status, an icon displays to the right of your name.
You can change or clear your status at any time during a meeting. The moderator can also clear the status of another participant (for example, if the presenter has addressed the question or issue).
Before You Begin
You must be in the Cisco Unified MeetingPlace web meeting room.
Procedure
Step 1
Click My Status in the Participant List tool.
Step 2
Click the icon that you want to display.
Step 3
Click Clear My Status to clear the icon.

How to Use the Chat Tool
The Chat tool in the meeting console allows you to exchange text messages with other participants.
As a presenter, you can use more than one Chat tool simultaneously. If the moderator has enabled the Presenter Only Area, this area includes a Presenter Chat tool that you can use to chat "offstage" with other presenters.
In the Chat tool, messages appear as they are submitted, and they are listed sequentially in the tool. Presenters can allow participants to conduct private chats, clear a chat, or turn off chat notifications. Chat tool content is persistent, and will remain in a meeting room until you delete it. If you want to preserve Chat tool content for future use, you can e-mail it.
When you receive a chat message from a meeting participant, your Chat tool shows the sender name and the message. If the message was sent to everyone, the sender name is followed by the message. If the message was sent only to you, the sender name is followed by "(privately)." If the message was sent only to the presenters, the sender name is followed by "(presenters)."
When a Chat tool is linked to a Q & A tool, broadcast chat messages are available only to users with Moderator or Presenter permissions. Users with Audience permissions can only submit questions.

Sending a Chat Message
Complete this procedure to compose a chat message and address it to a specific participant, to all presenters at the meeting, or to all participants (participants, presenters, and moderators).
Before You Begin
•
You must be in the Cisco Unified MeetingPlace web meeting room.
•
The moderator must have enabled the Chat feature.
Procedure
Step 1
In the Chat tool, choose a message recipient in the To field.
Step 2
Click the text box in the Chat tool.
Step 3
Enter your message.
Step 4
Click the Send Message icon (black arrow) next to the text box or press the Enter key.
Your name displays in the Chat tool, followed by the recipient(s) you selected and your message.
Troubleshooting Tip
By default, all participants can send text messages in the Chat tool. If you cannot send a text message and you have Audience permissions, it is possible that a meeting moderator or presenter has disabled private chat for participants with your permission level. If this is not the case, contact your system administrator.

Changing the Size of Chat Text
The text size you choose affects all meeting participants.
Before You Begin
•
You must be a moderator or presenter.
•
You must be in the Cisco Unified MeetingPlace web meeting room.
Procedure
Step 1
Locate the Chat tool.
Step 2
Click
> Text Size.
Step 3
Choose a text size.

Clearing Chat Messages
All messages that you send and receive during the meeting remain visible in the chat window by default. When you leave the web meeting room, all private messages and messages sent to presenters are cleared from your Chat tool. Messages sent to everyone remain in the chat window of all participants.
If you are a moderator or presenter, you can clear all messages for all participants.

Procedure
Step 1
Locate the Chat tool.
Step 2
Click
> Clear Chat.
All text is removed from the Chat tools of all participants.

Complete this procedure to have Cisco Unified MeetingPlace open your e-mail client and create a message that contains the chat contents, including the name of the chat participants.
Before You Begin

You have installed the Cisco Unified Presenter Add-in.
Procedure
Step 1
Locate the Chat tool.
Step 2
Click
> Email Chat History.
A new message displays in your default e-mail client, with the subject "Chat History" and the contents of the Chat tool in the message body.
Step 3
Edit the note if necessary, address the message to recipients, and send.

Sending Chat Messages To Other Presenters
Complete this procedure to use the Presenter Chat tool to chat only with all other presenters, or with all meeting participants.

How to Use the Note Tool
Unlike a chat message in a Chat tool, the text note in a Note tool is created and displayed only by presenters. It remains visible in a Note tool throughout the meeting or until a presenter edits the note or displays a different note. A moderator can remove the Note tool from view or switch to a different room layout that does not contain that Note tool.
All text in a note uses the same formatting. If you have more than one note, each note can have different formatting.
Each note you create is assigned a consecutive number.
You can use the Note tool to:
•
Create a single, persistent note that is visible to participants during the entire meeting.
•
Create multiple notes in a single tool.
•
Create multiple Note tools to display different notes.
You can also e-mail the contents of a note tool.

Creating a Note or a Note Tool
Complete this procedure to create and display multiple Note tools, each with its own set of notes. You can use different Note tools for different layouts and meetings. When you create a Note tool, it is assigned a default name, such as Note 1 or Note 2.
You can rename the Note tool after it is created.
Before You Begin

Procedure
Step 1
Click Tools > Notes > New Note Tool to create a new Note tool.
Step 2
Click Tools > Note to create a note.
Editing a Note
Before You Begin
•
You must be a moderator or presenter.
•
You must be in the Cisco Unified MeetingPlace web meeting room.
Procedure
Step 1
(Optional) If the Note tool is not displayed in the meeting room, choose Tools > Notes > New Note Tool.
Step 2
Click
> New Note in the Note tool.
You can create as many new notes as you want by using this method.
Step 3
Type your note.
Meeting participants immediately see the new text.
Step 4
(Optional) Modify your note.

Creating a Presenter Note
Before You Begin
This procedure assumes the following:

You are a moderator or presenter.
•
You are in the Cisco Unified MeetingPlace web meeting room.
•
The moderator has activated the Presenter Only Area.
•
The moderator has enabled the Presenter Notes feature.
Procedure
Step 1
Locate the Presenter Note tool.
Step 2
Click
> Select Note.
Step 3
Select the number of the note that you want to display.

The name of the note that is currently displayed is omitted from the pop-up menu.
Choosing Which Note to Display
If you have more than one note, you can change which note is visible to participants at any time.

> Select Note in the Note tool.

Procedure
Step 1
Click Tools > Organize Tools.
Step 2
Select the name of the note that you want to delete.
Step 3
Click Delete.
Step 4
Click Done.
