Cisco Unified MeetingPlace Web Conferencing supports most proxy servers on the market. If you are accessing Web Conferencing through a proxy server, set the proxy server as follows:

Timeout value from 120 seconds to 300 seconds.

Cache expiration policy set to "Explicit Expiration Information Only."

About the Cisco Unified MeetingPlace Web Conferencing Service

The Cisco Unified MeetingPlace Web Conferencing Service is a Windows master service that manages and monitors the startup and shutdown of the following:

Cisco Unified MeetingPlace Agent Service

Cisco Unified MeetingPlace Audio Service

Cisco Unified MeetingPlace Connect Application Service

Cisco Unified MeetingPlace Connect Gateway

Cisco Unified MeetingPlace Flash Media Administration Server

Cisco Unified MeetingPlace Flash Media Server

Cisco Unified MeetingPlace Replication Service

Cisco Unified MeetingPlace Video Service

The master service also monitors these services, enabling recovery if failure occurs, and configures the MeetingPlace Web (MPWEB) database and the MPWEB slave databases. If any services fail, the Cisco Unified MeetingPlace Web Conferencing master service automatically restarts and a major alarm is sent to the Cisco Unified MeetingPlace Audio Server.

The master service is turned on automatically after any reboot or upgrade, at which point it monitors all subsidiary services and runs a database configuration and import tool. If the database version is not up to date, the tool updates the database schema. Similarly, if the database needs to import new strings, the tool imports them.

Stopping All Cisco Unified MeetingPlace Web Conferencing Services

You must stop all Cisco Unified MeetingPlace Web Conferencing services before you do certain procedures, including Gateway SIM upgrades and configuration changes.

To Stop All Cisco Unified MeetingPlace Web Conferencing Services


Step 1 From the Windows Start menu, choose Settings > Control Panel > Administrative Tools > Services.

Step 2 Right-click Cisco Unified MeetingPlace Web Conferencing and choose Stop.

Step 3 (Optional) To stop other Cisco Unified MeetingPlace gateway services, including Gateway SIM, right-click the service and choose Stop.

Step 4 If the IIS Admin Service is still running, right-click the service and choose Stop.

Step 5 Close the Services control panel.


Restarting All Cisco Unified MeetingPlace Web Conferencing Services

To Restart All Cisco Unified MeetingPlace Web Conferencing Services


Step 1 From the Windows Start menu, choose Settings > Control Panel > Administrative Tools > Services.

Step 2 Right-click Cisco Unified MeetingPlace Web Conferencing and choose Start.

Step 3 If you stopped any other gateway services, restart them by right-clicking the applicable service and choosing Start.

Step 4 Close the Services control panel.


About the Cisco Unified MeetingPlace Gateway Systems Integrity Manager

The Gateway Systems Integrity Manager (Gateway SIM) improves the reliability and serviceability of all Cisco Unified MeetingPlace applications by detecting gateway outages and logging these errors to the Alarm Table, and enabling a Cisco support representative to remotely administer and diagnose your Cisco Unified MeetingPlace applications.

The Gateway SIM consists of a set of modules:

Gateway SIM Agent—Resides on the web server in the MeetingPlace Gateway Configurations Utility and sends scheduled updates to the Gateway SIM Manager.

Gateway SIM Manager—Resides on the Cisco Unified MeetingPlace Audio Server system. If the Gateway SIM Manager does not receive these updates when expected, it logs a major alarm to the Alarm Table.

Figure 2-1 illustrates the Gateway SIM Agent, which is located in the MeetingPlace Gateway Configurations utility.

Indicates the version number of the Gateway SIM.

Indicates the Ethernet address of this Windows machine.

Note This is a critical field because it is through this Ethernet address that this machine registers itself in to the database of the primary Cisco Unified MeetingPlace Audio Server system.

Enables a Cisco support representative to issue remote management requests that can help diagnose problems and restart the Cisco Unified MeetingPlace Web Conferencing Service.

Enables the Gateway SIM to log alarms from this machine to the Alarm Table.

Indicates the FQDN of the Cisco Unified MeetingPlace Audio Server system to which this machine is connected.

Contains information about this machine including the following:

Whether the Gateway SIM on this machine is connected to the Cisco Unified MeetingPlace Audio Server system.

The unit number assigned to this machine by the primary Audio Server system.

The IP address of this machine.

Whether link encryption is enabled.

Release of the Audio Server software that the primary Audio Server system is running.

About Gateway SIM Reverse Connection

The default connection mode for the Gateway SIM is to open an inbound connection—that is, from the web server (also referred to as a gateway unit) to the Cisco Unified MeetingPlace Audio Server system—by using port 5003 on the Audio Server system.

In cases where this is not possible, such as segmented meeting access (SMA) installations where inbound connections are not allowed, the Gateway SIM "reverse connection" feature allows the Audio Server system to connect to the Gateway SIM through an "outbound" connection to port 5003.

To ensure support for reverse connection, confirm the following configurations:

Outbound connections to port 5003 are not blocked at a firewall or on the gateway unit.

The Audio Server name that is configured on the gateway unit uses a hostname, not a numeric IP address.

The Audio Server name used by the gateway unit exactly matches the hostname used by the Audio Server.


Tip Use the net command on the Audio Server system to display the Audio Server hostname. The hostname shown in the MeetingPlace Gateway Configurations utility on the gateway unit must match exactly.


Example

A gateway unit configured to connect to a Cisco Unified MeetingPlace Audio Server system with the name servername will support a reverse connection if the Audio Server system hostname is servername.

Opening the MeetingPlace Gateway Configurations Utility


Tip The Cisco Unified MeetingPlace icon resembles an orange door and is located in the system tray.


To Open the MeetingPlace Gateway Configurations Utility


Step 1 From your system tray, right-click the Cisco Unified MeetingPlace icon.

Step 2 Choose Properties.


Configuring the Cisco Unified MeetingPlace Gateway SIM

Before You Begin

Read the "About the Cisco Unified MeetingPlace Gateway Systems Integrity Manager" section for information about the Gateway SIM.

To Configure the Cisco Unified MeetingPlace Gateway SIM


Step 1 Open the Gateway SIM Agent.

a. Open the MeetingPlace Gateway Configurations utility.

For instructions, see the "To Open the MeetingPlace Gateway Configurations Utility" procedure.

b. Click the Gateway SIM tab.

Step 2 (Optional) To enable remote management from a Cisco support representative, check the Remote Management Enabled check box.

Step 3 (Optional) To log alarms from this web server to the Cisco Unified MeetingPlace Audio Server system, check the Gateway Alarms Enabled check box.

Step 4 (Optional) To configure the Audio Server system that the Gateway SIM is connected to, double-click the Audio Server entry listed in the left window and do the following:

"Server Name" specifies the primary Audio Server system. This field is read-only.

"Shadow Server Name" specifies the backup Audio Server system. If you want to indicate a backup server for the primary Audio Server system, enter the name of the backup server here.

"Client IP Address" specifies the IP address of the MeetingPlace Gateway. This field is read-only.

"Transfer Destinations" is specific to Cisco Unified MeetingPlace Network Backup Gateway. For information about this field, see the Administrator Guide for Cisco Unified MeetingPlace Network Backup Gateway Release 5.2 and Release 5.3, at http://www.cisco.com/en/US/products/sw/ps5664/ps5669/prod_installation_guides_list.html.

"Link Encryption Disabled" is specific to Cisco Unified MeetingPlace Network Backup Gateway.

Click OK.

Step 5 From the Gateway SIM tab, click OK.

Step 6 (Optional) To change the Audio Server system displayed in the Gateway SIM tab, continue with the "Changing the Cisco Unified MeetingPlace Audio Server Connection" section.


Configuring the Gateway SIM for Reverse Connection

Before You Begin

Read the "About Gateway SIM Reverse Connection" section for information about this feature.

The gateway unit refers to the machine on which Cisco Unified MeetingPlace Web Conferencing is installed.

Restrictions

This procedure supports the following installations:

Cisco Unified MeetingPlace Web Conferencing Release 6.0.

New installations of Cisco Unified MeetingPlace Gateway SIM Release 5.3 and later.

To Configure the Gateway SIM for Reverse Connection


Step 1 Obtain the IP address of the gateway unit by doing one of the following:

If the Gateway SIM is already configured:

a. Open the MeetingPlace Gateway Configurations utility. For instructions, see the "To Open the MeetingPlace Gateway Configurations Utility" procedure.

b. Click the Gateway SIM tab.

c. Double-click the name of the server that you want to configure. The MeetingPlace Server Entry window appears.

d. The IP address of the Gateway unit appears in the Client IP Address field.

or

If this is a new installation of Gateway SIM:

a. From a DOS command tool, use ipconfig to obtain the IP addresses of the gateway unit.

Step 2 Telnet to the Cisco Unified MeetingPlace Audio Server system and use the net command to obtain the Audio Server system hostname.

Step 3 Install the Gateway SIM.

Step 4 When prompted, enter the hostname of the primary MeetingPlace server and the IP address of the local client.

The Gateway SIM attempts to register on the Audio Server system. In a reverse connection configuration, this fails and you are prompted to continue to allow a reverse connection.

Step 5 Once the installation is complete, open the MeetingPlace Gateway Configurations utility and note the following:

The Unit field is set to UNASSIGNED.

The value of the Installation Key parameter. You will need it for Step 6.

Step 6 Telnet to the Audio Server system again and use the net command to configure the gateway unit on it. Use the Installation Key value from the MeetingPlace Gateway Configurations utility as the "Ethernet Address" for the gateway unit.

The Audio Server system begins to initiate a connection to the gateway unit.


Changing the Cisco Unified MeetingPlace Audio Server Connection

The Cisco Unified MeetingPlace Web Conferencing server is configured to point to a particular Cisco Unified MeetingPlace Audio Server system. To update the Audio Server system that this Web Conferencing server points to, complete the following procedure.

Before You Begin

In this procedure, we refer to the web server machine as a "unit."

To Change the Cisco Unified MeetingPlace Audio Server Connection


Step 1 Stop the Cisco Unified MeetingPlace Web Conferencing Service and Gateway SIM Service. If other Web Conferencing servers share the database with this server, stop the services on those servers as well.

For instructions, see the "To Stop All Cisco Unified MeetingPlace Web Conferencing Services" procedure.


Note Do not restart services until you have completed this procedure.


Step 2 Open the Gateway SIM Agent.

a. Open the MeetingPlace Gateway Configurations utility.

For instructions, see the "To Open the MeetingPlace Gateway Configurations Utility" procedure.

b. Click the Gateway SIM tab.

Step 3 Delete this unit from the primary Cisco Unified MeetingPlace Audio Server system.

a. From the lower-left pane of the Gateway SIM tab, click the name of the Audio Server system that you want to disconnect from.

b. Click Delete.

Step 4 Change the Audio Server hostname from the old server name to the new server name in the MPWEB database:

a. Open Enterprise Manager and navigate to the \Databases folder.

b. Choose and expand the MPWEB database.

c. From the left pane, choose Tables.

d. In the right pane right-click System, then from the pop-up menu, choose Open Table > Return All Rows.

e. Change the value in the HostName column to the desired value.

Step 5 Delete all Cisco Unified MeetingPlace Web Conferencing attachment subfolders.

a. From Windows Explorer, navigate to the location of your attachment folder, for example, drive:\Web_data\MPWeb\Meetings.

b. Delete all of the subfolders. Do not delete the Meetings folder.

Step 6 Add this unit to a new Cisco Unified MeetingPlace Audio Server system.

a. Open the Gateway SIM Agent.

b. Click Add.

The MeetingPlace Server Entry window appears.

c. In the MeetingPlace Server Entry window, enter the new configuration information as follows:

Server Name

Enter the hostname of the Cisco Unified MeetingPlace Audio Server system.

Note If you use an IP address instead of a hostname for the Audio Server system, you will have to update the IP address on the Web Conferencing server whenever you change the IP address on the Audio Server.

Shadow Server

Leave this field as is.

Client IP Address

Enter the IP address of the machine on which the Gateway SIM is installed.

Transfer Destination

Leave this field as is.

Link Encryption Disabled

Leave this check box unchecked. When the check box is unchecked, communications between the Gateway SIM and the Audio Server system are encrypted.

Encryption uses a 56-bit DES algorithm with a secret key.

Note You can check this option to send communications in clear text; however, we do not recommend this.


d. Click OK, then OK again.

Step 7 Restart the Gateway SIM service and the Cisco Unified MeetingPlace Web Conferencing Service. If other Web Conferencing servers share the database with this server, restart the services on those servers as well.

Step 8 Verify that this unit is attached to the new Audio Server system and that a unit number is assigned.

a. Open the Gateway SIM Agent.

b. Make sure that the newly entered Audio Server system is listed in the left window.

Step 9 Update the Web Conferencing server with user and meeting information from the new Audio Server system.

a. Sign in to Cisco Unified MeetingPlace Web Conferencing.

b. From the Welcome page, click Admin, then click Replication Service.

c. For Replication Service Command, choose Update All User Profiles.

d. Click Submit.

e. Change the Replication Service Command to Update All Meetings.

f. Click Submit.


Updating SQL Account Access from the MeetingPlace Gateway Configurations Utility

This procedure describes how to update the Cisco Unified MeetingPlace web server with access information you already configured in SQL Server. It does not describe how to update access information in SQL Server.


Note This procedure does not describe how to configure a least privileged SQL account. For this information, see the Installation and Upgrade Guide for Cisco Unified MeetingPlace Web Conferencing Release 6.x, at http://www.cisco.com/en/US/products/sw/ps5664/ps5669/prod_installation_guides_list.html.


Before You Begin

Change the username and password on SQL Server before you begin this procedure. The MeetingPlace Gateway Configurations utility allows you to update the web server with previously configured information. It does not update the SQL Server for you.

To Update SQL Account Access from the MeetingPlace Gateway Configurations Utility


Step 1 Stop the Cisco Unified MeetingPlace Web Conferencing Service.

For instructions, see the "To Stop All Cisco Unified MeetingPlace Web Conferencing Services" procedure.

Step 2 Open the MeetingPlace Gateway Configurations utility.

For instructions, see the "To Open the MeetingPlace Gateway Configurations Utility" procedure.

Step 3 Click the Web Conferencing tab.

Step 4 For Server, enter the hostname or IP address of the SQL Server you want to update. For a local server, enter local.

Step 5 For Username and Password, enter the username and password you applied to the SQL Server.

Step 6 Click OK.

Step 7 Restart the Cisco Unified MeetingPlace Web Conferencing Service.

Signing In

Before You Begin

You must have a Cisco Unified MeetingPlace profile with System Manager privileges to access the online administrative page.

To Sign In to the Online Administrative Interface


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing by using your System Manager-level profile.

Step 2 From the Welcome page, click Admin.

Step 3 From the Administration page, click an option to begin configuration.


Checking Which Conferences Are Currently Running

Use the Web Conferences link to check which conferences are currently running on the web server. This is useful as a debugging tool.

To Check Which Conferences Are Currently Running


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Web Conferences.

A list of currently running web conferences displays with the following properties:

Conference Name—A text identifier made up of the meeting subject and the dialable meeting ID.

Current User Count—Lists the total number of web participants who are currently attending the conference. (Users dialed in to the meeting without an associated web session are not counted here.)

Peak User Count—Lists the highest number of web participants who are concurrently attending the conference at any point since it began. (Users dialed in to the meeting without an associated web session are not counted here.)

Active Server—The origin server that is hosting the meeting.

Duration—Lists the elapsed time since the conference began.

Step 3 (Optional) To return to the main Administration page, click Back.


Using the Database Command

The Database administration page allows you to access information that is on the SQL Server database.

To Use the Database Command


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Database.

Step 3 For Database Command, choose to count all entries in your database tables or to rebuild all database indices.

Step 4 Click Submit.


Checking the Versions of Local Cisco Unified MeetingPlace Web Conferencing Services

The Versions option allows you to check the release number of most local Cisco Unified MeetingPlace Web Conferencing services. Releases of all listed local Web services, with the exception of Gateway SIM, must match, that is, 6.0.x.x, where x.x is the same across all services.

Adding a New Group

Groups define users with shared attributes, like common system settings (such as class of service or regions) and other common business characteristics (such as departments, levels of management, or billing codes). By arranging users into groups, you can easily maintain profiles for similar users. When something about a group changes (such as the departmental contact), you can update all the users in the group at one time. Users are assigned to only one group.

To Add a New Group


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Groups.

Step 3 For Name, enter a name for this group.

Step 4 For Number, assign a number for this group.

Step 5 For Billing Code, enter the code of the group or department that will be billed for meetings by this group.

Step 6 Click Add.


Adding Meeting Categories

Meeting categories may assist in organizing your reports.

To Add Meeting Categories


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Meeting Categories.

Step 3 For Name, enter a name for this meeting category.

Step 4 For Description, enter a brief description to help users understand the purpose of this meeting category.

Step 5 Click Add.


Deleting Meeting Categories

To Delete Meeting Categories


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Meeting Categories.

Step 3 From the "View" section of the page, locate the meeting category that you want to remove and click Delete.


Rebooting the Server

Use the following procedure to shut down and restart the Web Conferencing server machine from the web interface.

To Reboot the Server


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Reboot Server.

Step 3 Click OK to confirm the reboot. The system shuts down and restarts.


Adding a Site Route

The Site Routes option allows you to configure server dialing plans for multiserver meetings.

Before You Begin

A site must be configured and submitted before you can select it in the Site Routes administration page.

To Add a Site Route


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Site Routes.

Step 3 From the "Add" section of the Site Routes administration page, configure your site route by choosing a site From and To.

Step 4 Click Add.


Deleting a Site Route

To Delete a Site Route


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Site Routes.

Step 3 From the "View" section of the Site Routes administration page, locate the site route you want to remove and click Delete.


About Restricted Meeting ID Patterns

As a system administrator, you can restrict Cisco Unified MeetingPlace Web Conferencing from accepting certain meeting ID patterns that you consider unsecure. For example, you can restrict meeting ID patterns that repeat the same digit three times in a row, such as 111 or 222.

Keep the following points in mind when determining which meeting ID patterns to restrict:

Restricted meeting ID patterns affect both numerical and vanity meeting IDs. Therefore, if you choose to restrict patterns that repeat the same digit three times, Cisco Unified MeetingPlace Web Conferencing will disallow both the numerical meeting ID "333" and the vanity meeting ID "deepdive," because "deepdive" translates to 3337383.

Keep the length of your minimum meeting ID requirement in mind. Repeating the same digit three times when the length of your minimum meeting ID is four digits long can be considered a security risk. However, repeating the same digit three times when the length of your minimum meeting ID is eight digits long may not.

There is always the chance of a meeting ID hitting the rule pattern and causing a problem. Judicious use of the rule is critical for the reduction of such incidents.


Note You cannot schedule a meeting with a supported meeting ID pattern through the phone or MeetingTime, then attempt to modify it or reschedule it through Web Conferencing. This rescheduling behavior is not supported.

Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Restricted Meeting ID Patterns.

Step 3 For Pattern, enter the restricted meeting ID pattern as a regular expression using the Perl syntax.

Example

.*(012|123|234|345|456|567|678|789|890|098|987|876|765|654|543|432|321|210).*

Step 4 For Description, enter a brief description to explain the intent of the pattern.

Example

Block sequences of 3 increasing or decreasing numbers.

Step 5 Click Add.

The pattern appears in the "View" section of the page.

Step 6 Repeat Step 3 through Step 5 for each additional restricted ID pattern.


To Delete Restricted Meeting ID Patterns


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Restricted Meeting ID Patterns.

Step 3 From the "View" section of the page, locate the pattern you want to delete.

About Cisco Unified MeetingPlace Web Conferencing Templates

The Cisco Unified MeetingPlace Web Conferencing user interface is composed of a set of template pages that allow users to complete various Cisco Unified MeetingPlace functions. As a system administrator, you can configure which fields are exposed to your users. This information is preserved in the MPWEB database and remains unaffected by Web Conferencing upgrades.

Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click User Interface Fields.

Step 3 From the "General" section of the page, click the name of the Web Conferencing page that you want to configure.

The user interface fields for that page appear.

Step 4 To expose a field in the Web Conferencing user interface, click the object in the Enabled column to reveal a checkmark.

Step 5 To hide a field, click the object in the Enabled column to reveal an X.

Hiding a field removes it from the web user interface and disables access to its functionality.

Step 6 To configure another page, click Back to return to the main User Interface Fields administration page.

Step 7 (Optional) If you want to modify the names or descriptions displayed next to your exposed fields, configure the associated text strings as described in the "To Configure User Interface Text" procedure.


To Export Custom User Interface Fields

The Exporting Custom User Interface Fields link allows you to save an XML copy of the configuration changes that you made in your browser. This is useful if you ever need to reload the configuration.


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click User Interface Fields.

Step 3 From the "Actions" section of the page, click Export Custom User Interface Fields.

Step 4 Save the resulting XML file to your hard drive by using the Save As option in your browser.


To Reload a Custom User Interface Field Configuration

This procedure assumes that you have already exported your custom user interface field configuration by doing the preceding "To Export Custom User Interface Fields" procedure.


Step 1 Stop the Cisco Unified MeetingPlace Web Conferencing Service.

For instructions, see the "To Stop All Cisco Unified MeetingPlace Web Conferencing Services" procedure.

Step 2 From your hard drive, locate the XML copy of your configuration changes.

Step 3 Copy the XML file to C:\Program Files\Cisco Systems\MPWeb\DataSvc.

Step 4 Restart the Cisco Unified MeetingPlace Web Conferencing Service.

To Restore User Field Default Settings


Caution Following this procedure removes all of the configurations that were completed with the User Interface Field configuration tool.

Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click User Interface Fields.

Step 3 From the "Actions" section of the page, click Revert to Default.

A pop-up window appears to confirm your action.

Step 4 From the confirmation window, click OK.


To Locate User Interface Strings


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 Browse to the page that contains the UI element you want to modify.

Step 3 Right-click next to the UI element and choose View Source. Notepad appears with the source code for the UI element.

Step 4 Press Ctrl + F. The Find window appears.

Step 5 Enter your search term and click Find Next.

Step 6 When you locate the element you want to modify, read across to find its associated string ID, such as String1234.

Step 7 For instructions on how to modify this string, continue with the "To Configure User Interface Text" procedure.


To Configure User Interface Text

After configuring which fields will appear on Cisco Unified MeetingPlace Web Conferencing pages, you can choose to modify the names or descriptions next to the exposed fields. This requires configuring the relevant strings in the MPWEB database. Such configurations are preserved in the database; therefore, the configurations are not affected by Web Conferencing upgrades. This tool also allows you to create new strings to enter into the MPWEB database.


Tip For information on how to locate strings, see the "To Locate User Interface Strings" procedure.



Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click User Interface Text.

Step 3 Click Configure Strings.

Step 4 In the Please Enter a String ID field, enter the ID number for the string that you want to modify, such as 1234, or to create a new string, enter a new string ID.

Step 5 In the Please Select a Language field, choose the language of the string.

Step 6 Click Submit. Default and custom information about this string appears.

Step 7 In the New String field, enter the new text that you want to associate with this string.

Step 8 Click Change.

Step 9 Click Done, or to revert to the default text, click Restore Default.

Step 10 (Optional) To modify another string, click Look Up a Different String and repeat Step 4 through Step 9.


To Configure Error Messages


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click User Interface Text.

Step 3 Click Configure Strings.

Step 4 In the Please Enter a String ID field, enter the sum of 1 million plus the error number that you want to customize. For example, if you want to customize error 5432, enter 1005432.

Step 5 In the Please Select a Language field, choose the language of the error message that you want to customize.

Step 6 Click Submit. Default and custom information about this string appears.

Step 7 In the New String field, enter the new text that you want to associate with this error number.

Step 8 Click Change.

Step 9 Click Done, or to revert to the default text, click Restore Default.

Step 10 (Optional) To modify another error message string, click Look Up a Different String and repeat Step 4 through Step 9.


To Export Custom User Interface Strings

The Exporting Custom User Interface Strings link allows you to save an XML copy of the configuration changes you made in your browser. This is useful if you ever need to reload the configuration.


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click User Interface Text.

To Restore Default User Text Settings


Caution This procedure removes all of the text configurations that were completed with the User Interface Text configuration tool.

Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click User Interface Text.

Step 3 Click Revert to Default. A pop-up window appears to confirm your action.

Step 4 From the confirmation window, click OK.


To Hide User-Interface Strings

Some strings cannot be hidden by using the User Interface Field configuration tool. Use this procedure to hide such user-interface strings.

You must first identify the IDs for the strings that you want to modify. For instructions, see the "To Locate User Interface Strings" procedure.


Caution You cannot use the "To Restore Default User Text Settings" procedure to re-display strings you hide by using this procedure. Instead, you must delete the text that you enter in this procedure.

Step 1 Create a file named custom.css.

Step 2 Apply the custom.css file to a language by completing one of the following:

To apply the file to U.S. English, save the file to drive:\Cisco Systems\MPWeb\HTML.

To apply the file to a different language, save the file to drive:\Program Files\Cisco Systems\MPWeb\HTML\xxx, where xxx is one of the following language IDs:

English \000

French \004

German \005

Step 3 To turn off the string, enter the following information in the file:

To Customize the Session Expired Page

You can use this procedure to send profiled users with expired or invalid session IDs to the Session Expired page. For example, you can have this page display an error and redirect users back to a particular site.


Step 1 Create a template called SessionExpired.tpl.

Step 2 Save this template to the program files\mpweb\template folder.


About Using Cascading Style Sheets to Customize the User Interface

Cisco Unified MeetingPlace Web Conferencing applies cascading style sheets (CSS) to determine the look of the web-based user interface. These CSS files affect all web pages (the home page, meeting scheduling pages, Admin pages, account settings, and so on) but do not affect the meeting console.

When a web page links to multiple CSS files, the styles defined in these files affect the page in a cascading manner—styles applied later in the chain override earlier styles. The Cisco Unified MeetingPlace Web Conferencing web pages link first to up to two predefined mpweb.css files (one for the base page and the other for a specific language if the page is not in U.S. English) and then to two customer-definable custom.css files (again for the base page and for another language).

You can create custom.css files to define specific styles (for example, to change the page background colors). Because these files are not created during installation, they are preserved during upgrades. We recommend that you do not alter the style sheet files unless you are familiar with HTML style sheets.


Caution Do not modify the installed mpweb.css files. Modifications to these files are not supported and will not be preserved during upgrades.

To Customize the User Interface by Using Cascading Style Sheets


Step 1 Create a file named custom.css.

Step 2 Apply the custom.css file to a language by completing one of the following:

To apply the file to U.S. English, save the file to drive:\Cisco Systems\MPWeb\HTML.

About Cisco Unified MeetingPlace Profiles and Access

Like other internal company resources, many Cisco Unified MeetingPlace functions require that users identify themselves through a user profile. A user profile consists of the following:

Users with Cisco Unified MeetingPlace profiles should always sign in through the Web to access the greatest number of Cisco Unified MeetingPlace functions, such as the following:

Schedule, reschedule, or cancel meetings

Initiate reservationless meetings

Invite guests, other profile users, or a team to meetings

Attach documents to meetings

Download attachments, access recordings, or review a list of meetings that they have been invited to

Update settings in their user profiles

Lock a meeting and change whether an attendee is allowed to speak

Poll meeting attendees for comments and suggestions

We highly recommend that people who frequently access Cisco Unified MeetingPlace have a profile in order to access these functions.

To Add a New User Profile

You can add new end user profiles to the Cisco Unified MeetingPlace database through Cisco Unified MeetingPlace Web Conferencing. However, further customization of user profiles requires that you access the profile through MeetingTime.


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Profiles.

Step 3 Fill in the parameters as indicated in the following table:

Enter a unique alphanumeric string of 3 to 17 characters that identifies the user when the user accesses Cisco Unified MeetingPlace from a workstation.

Recommended The network or e-mail user name.

User ID Password

Note This is a temporary password. Users are prompted to change this password the first time they log in.

Enter the user ID password again.

Profile Number

Enter a unique numeric string of 3 to 17 digits that identifies the user when the user accesses Cisco Unified MeetingPlace through the phone interface.

Do not set the user ID and profile number to the same value.

Recommended The phone number, extension, or voice mailbox of the user.

Profile Password

Enter an alphanumeric password of 3 to 11 characters that authenticates the user when the user accesses Cisco Unified MeetingPlace from the phone.

Note This is a temporary password. Users are prompted to change this password the first time they log in.

Confirm Password

Enter the profile password again.

First Name

(Optional) Enter the first name of the user.

Last Name

(Optional) Enter the last name of the user.

E-Mail Address

(Optional) Enter the primary e-mail address of the user. Cisco Unified MeetingPlace will direct meeting notifications to this e-mail address.

Phone Number

(Optional) Enter the phone number of the user.

Time Zone

(Optional) Choose the local time zone of the user. If this user profile will be part of a group, click Group Default (localtime).


Step 4 Click Add.


About Video Terminal Profiles

A video terminal is a video endpoint that has a Cisco Unified MeetingPlace user profile. For example, you might set up a video terminal profile for a conference room video system. When scheduling meetings with video through the Web Conferencing scheduling interface, users with video scheduling capabilities can view the availability of various video terminals on the day of the meeting and reserve one or more video terminals for the meeting. Meeting notifications list the invited terminals and the dial-in number for each terminal.

Video terminal profiles differ from the profiles that you set up for your users in the following ways:

Video terminals are configured in Cisco Unified MeetingPlace Video Administration, and then synchronized to Cisco Unified MeetingPlace Web Conferencing by using the Replication Service.

Video terminal profiles have values configured for additional video terminal parameters, including video terminal name, ID, and classification. To change these parameters, you must use Video Administration. You can not modify these fields by using MeetingTime.

The process for inviting video terminals to a meeting differs from the process of inviting users; you reserve a video terminal for a particular meeting, which causes the terminal to display as busy during that timeframe when users check the availability of the terminal. Reserving a video terminal automatically sends a meeting invitation to the terminal owner, if one has been identified. You do not add video terminals to the meeting invitee list, as you would add users.

Importing Video Terminal User Profiles

Video terminals are automatically synchronized from Cisco Unified MeetingPlace Video Administration by the Replication Service. To configure how frequently this automatic synchronization occurs, do the following procedure.

Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Site.

Step 3 In the View section, click on the name of the site you want to configure.

Step 4 Enter a value (in days) for the Video Terminals/Meeting Types Refresh Period field.

Step 5 Click Submit.


You can also force an immediate refresh of the list of video terminals by using the following procedure.

To Manually Refresh Video Terminal User Profiles


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Replication Service.

Step 3 For Replication Service Command, choose Update All Terminals.

Step 4 Click Submit.


About Guest Access

Cisco Unified MeetingPlace allows guest users (those without profiles) the ability to attend meetings and access meeting materials, such as recordings and attachments. The meeting scheduler can configure some of the parameters that need to be set for guest access. All other parameters must be set by the system administrator.

Step 2 From the Welcome page, click Admin, then click Web Server.

Step 3 From the "View" section of the page, click the name of the web server that you want to configure.

Information about this server populates the "Edit" section of the page.

Step 4 For Allow Public Meetings in Find Meeting List, choose Yes. This ensures that public meetings appear in the Find Meetings search results.

Step 5 For Allow Guest Access to Find Meetings Page, choose Yes. This ensures that guests have access to use the Find Meetings page to find public meetings.

Step 6 When you finish, click Submit.



Tip To allow external users (those outside your firewall) and sites (Cisco Unified MeetingPlace Audio Server systems outside your network) to access a meeting and the associated meeting materials, make sure that Allow External Web Participants is set to Yes for the meeting.

This parameter is set by the meeting scheduler from the New Meeting scheduling page, and it is only visible if your Cisco Unified MeetingPlace system has an external site—that is, a web server located in an Internet-accessible segment of your network, such as in a DMZ zone.


About Configuring the Web Server

The Web Server administrative page allows you to configure local web servers. This includes enabling Secure Sockets Layer (SSL), Web Server Authentication, and configuring denial-of-service handling, which provides for better performance at the capacity threshold of the server.

Inserting a Logo on the Cisco Unified MeetingPlace Web Conferencing Home Page

You can use this procedure to insert either a company logo or a blank logo on the Cisco Unified MeetingPlace Web Conferencing home page.

Before You Begin

Locate a logo 148 x 65 pixels or less and save it as logo.gif. A smaller logo works in this space, but a larger one results in the content of the page shifting to the right.

(Optional) If you do not want to include a logo on the Web Conferencing home page, create a blank file 148 x 65 pixels and save it as logo.gif.

To Insert a Logo on the Web Conferencing Home Page


Step 1 Copy the logo.gif file into drive:\Program Files\Cisco Systems\MPWeb\Images.

The logo you inserted appears on the Web Conferencing home page the next time you open your web browser.


Configuring the Web Server

This section contains parameters specific to the web server that you are configuring.

To Configure the Web Server


Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Web Server.

Step 3 From the bottom section of the page, click the name of the web server that you want to configure.

This populates the top section of the page with predefined settings.

This field was populated during the web server software installation with the first IP address assigned in the Operating System

Hostname [Web Conferencing]

The hostname, FQDN, or IP address used to connect Flash clients to the Cisco Unified MeetingPlace Web Conferencing meeting console.

If this field contains just the hostname of your web server, we recommend that you change it to the FQDN, that is, hostname.domain.com. If your web server is not in a Domain Name System (DNS), insert the IP address instead.

Note Do not set this parameter to the same value as the Hostname [Home Page].

Note To use SSL, you must change this value from the default IP address to either hostname or FQDN.

Determines whether this web server is configured for Secure Socket Layer (SSL) connections. For more information on SSL, see the "How to Configure Secure Sockets Layer" section on page 5-2.

Choosing Yes allows the web server to accept participants based on a load algorithm. Users attempting to enter the meeting are requested to stand by while their request is processed. If the server is busy or the Max Concurrent Web Conference Users limit is reached, users are told that the server is busy and are asked to try again.

Customizing Local Web Server Options

As a system administrator, you can customize the features that are available on the local web server for your end users. The customizations you choose override functionality that is normally allowed by individual class of service or meeting console permissions.

Step 1 Sign in to Cisco Unified MeetingPlace Web Conferencing.

Step 2 From the Welcome page, click Admin, then click Web Server.

Step 3 From the "View" section of the page, click the name of the web server that you want to configure.

This populates the "Edit" section of the page with predefined settings.

Step 4 Configure the web server by using the information in the following table.

To enable a feature, choose Yes.

To disable a feature, choose No.

To synchronize a feature on a web server that you are configuring with other web servers in the same site, choose Site Default.

Note To make sure that guest users can use the Find Meetings feature, set both the "Allow Public Meetings in Find Meeting List" and "Allow Guest Access to Find Meetings Page" parameters to Yes.

Purge Meetings Held Before (Days)

Determines how long meeting information is held in the Cisco Unified MeetingPlace web server database before it is purged.

Default 60 days.

Allow Remember Me

Determines whether the Remember Me check box appears on the Web Conferencing Sign In page.

Remember Me stores user passwords as a cookie for future Web Conferencing sessions.

Remember Me Expiration Interval (Days)

Specifies the number of days Remember Me is valid. If you enter 0, Remember Me never expires.

How to Configure WebEx

To allow end users to schedule and attend meetings using WebEx, configure and enable WebEx on your Cisco Unified MeetingPlace server. This gives end users the option to select either WebEx or Cisco Unified MeetingPlace to provide the web interface for a scheduled meeting.

Use this procedure to configure Cisco Unified MeetingPlace for WebEx.

Before You Begin

You must purchase a contract with WebEx for web conferencing. No Cisco Unified MeetingPlace web conferencing licenses are required if you plan a WebEx-only deployment.

You require a Cisco MCS web server running in your DMZ to host the Cisco Unified MeetingPlace-to-WebEx gateway. You must install Cisco Unified MeetingPlace Release 6.0 Maintenance Release 2 to enable the WebEx integration.

If you are using SSL, open port 443 on the Cisco MCS web server. If you are not using SSL, open port 80 on the Cisco MCS web server.

Verify that your WebEx representative has configured a site for you on WebEx.

Provide your WebEx super administrator with the following information:

Site administrator username: Any value is legal except for the Cisco Unified MeetingPlace administrator user ID.

Site administrator password: Any valid password is permitted.

Site administrator e-mail address: Any value is legal. However, this e-mail address should not be configured for any Cisco Unified MeetingPlace profile that will use WebEx.

One of the following two URLs, where <gateway> represents the fully qualified domain name of the Cisco MCS web server:

Before You Begin

Install the CUMP web conferencing software on the DMZ server.

Procedure


Step 1 Sign in to Web Conferencing on the DMZ server.

Step 2 Click Admin.

Step 3 Click WebEx Configuration.

Step 4 Enter the following information:

WebEx SiteID

WebEx PartnerID

WebEx Hostname

WebEx Sitename

WebEx Admin Username

WebEx Admin Password

Step 5 Select Yes for Is Sales Center available on your site if you have purchased WebEx Sales Center.

Step 6 Select Yes to enable the WebEx Gateway. The gateway is the component that provides communication between WebEx and the Cisco Unified MeetingPlace server.

Step 7 Click Submit.

Step 8 Restart the Cisco Unified MeetingPlace web services. See the "Restarting All Cisco Unified MeetingPlace Web Conferencing Services" section.

Step 9 Repeat Step 1 to Step 8 on the internal web server, if you have one in your existing Cisco Unified MeetingPlace deployment.


Changing the WebEx Password

Perform this procedure to change the original WebEx administration password.

Step 1 Sign in to Web Conferencing.

Step 2 Click Admin.

Step 3 Click WebEx Configuration.

Step 4 Click Enter Password.

Step 5 Enter the old password.

Step 6 Enter and confirm the new password.

Step 7 Click Submit.

Step 8 Stop and restart the Cisco Unified MeetingPlace services to update the changed password. See the "Stopping All Cisco Unified MeetingPlace Web Conferencing Services" section and the "Restarting All Cisco Unified MeetingPlace Web Conferencing Services" section.


Modifying User Group Default Settings for WebEx

The default user group setting for web conferencing provider is Cisco Unified MeetingPlace. The default user group setting for Hide Web Conference Provider is Yes. In this procedure, you use the MeetingTime application to modify the default user group settings.

Cisco recommends that you put all users who need WebEx scheduling capability into one group.

There are two user profile and group profile settings that need to be configured to enable WebEx integration for users. These are:

Hide Web Conference Provider—Determines whether the end user can choose a web conferencing provider on the scheduling page. It is set to yes by default for all profiles.

Default Web Conference Provider—Determines the default web conferencing provider that will be used for all meetings scheduled by this user. By default, this is set to 0, which represents the standard Cisco Unified MeetingPlace web conferencing interface. A value of 1 represents WebEx.

Before You Begin

Verify that you have an administrator user ID on the MeetingTime server.

Create at least one group. See the "Adding a New Group" section for information.

Procedure


Step 1 Log in to MeetingTime as an administrator.

Step 2 Click Administration > Configure.

Step 3 Click User Groups.

Step 4 Click the magnifying glass icon in the Find Records field.

Step 5 Click a group name and click OK.

Step 6 Scroll to the Group Defaults section.

Step 7 To enable the Web Conference Provider field on the New Meeting scheduling page:

Click Hide Web Conference Provider.

Place your cursor over the word Yes and left-click.

Click No.

Click OK.

Step 8 To change the default web conference provider from Cisco Unified MeetingPlace to WebEx:

Click Default Web Conference Provider.

Place your cursor over the digit 0 and left-click.

Click 1.

Click OK.

Step 9 Click Save Changes.

Step 10 Click File.

Step 11 Click Exit to log out of MeetingTime.


Enabling Audio Recordings from WebEx

WebEx calls into the Cisco Unified MeetingPlace system to initiate the recording process. You must configure your Cisco Unified MeetingPlace system to enable this feature.

Before You Begin

Identify the IP address or hostname of the MeetingTime server.

Verify that you have an administrator user ID on the MeetingTime server.

Procedure


Step 1 Log in to MeetingTime as an administrator.

Step 2 Click System Configuration > Telephony Access.

Step 3 Click Query.

Step 4 Configure the main and alternate phone numbers in the General and Video fields in the following format: <country code><area code><number>. Do not enter any dashes.

Step 5 Click Save Changes.

Step 6 Click File.

Step 7 Click Exit to log out of MeetingTime.
