Problem Description

New New Zealand Daylight Saving Time rules go into effect in September 2007. Consequently, the following effects may be observed on the MeetingPlace product line:

-Meetings may appear and occur an hour off from their original scheduled time.

-Timestamps for MeetingPlace system logs may also be off by an hour.

-MeetingPlace Web 6.0 synchronized data and audio recording will not work properly.

Background

On April 30, 2007, the Minister of Internal Affairs issued a statement regarding a change in Daylight Saving Time policy for New Zealand. The change in policy has modified the start and end dates for Daylight Saving Time (DST). Beginning in 2007 and beyond, Daylight Saving Time in New Zealand will start on the last Sunday of September at 2:00 A.M. local time and end on the first Sunday of April at 3:00 A.M. local time.

Specifically for 2007-2008, Daylight Saving Time will begin at 2:00 A.M. local time on September 30, 2007, and end at 3:00 A.M. local time on April 6, 2008.

The old Daylight Saving Time policy dictated that DST started on the first Sunday in October and ended on the third Sunday in March.

Problem Symptoms

The following effects may be observed between the old and new Daylight Saving Time dates during the below time frames in 2007-2008:

-September 30, 2007, to October 6, 2007 -

March 15, 2008, to April 6, 2008

-All meetings scheduled on a MeetingPlace Audio server with the New Zealand time zone setting occurring in the above time frames may occur one hour off.

-Notifications for MeetingPlace meetings may appear one hour off for users/recipients in the New Zealand time zone.

-For customers with MeetingPlace Audio Servers located outside of New Zealand, meetings may occur one hour off of their intended scheduled time for meeting schedulers that have the New Zealand time zone setting in their profile.

-System logs may show up as one-hour off during the above time frames for MeetingPlace systems with the New Zealand time zone setting.

-Synchronized data and audio recording on MeetingPlace Web 6.0 systems in the New Zealand time zone will not work properly during the above time frames. The synchronized data and audio recording feature on MP Web versions 5.4 and earlier will work properly.

Workaround/Solution

There is no automatic script/tool from Cisco which can update the meetings that are one hour off.

To prevent the possibility of future meetings from being scheduled one hour off between the old DST dates and the new DST dates, the affected MeetingPlace software and associated 3rd party software must be updated. For more information on software updates, see the FAQ section below. Updating the software will not fix affected meetings that were previously scheduled before the upgrade. Schedulers will have to manually re-schedule affected meetings that occur during the transition period noted in the Problem Symptom section.

For schedulers that are in the New Zealand time zone, a Raw Meeting Details report can be executed in MeetingTime for the affected time frame to find out which meetings are potentially affected. Use this option to obtain the MtgIds of all the meetings during the transition period from old DST dates to the new DST dates. Schedulers will need to manually re-schedule these meetings using the MtgIds obtained from the Raw Detail report. In the case of meetings scheduled using MeetingPlace for Outlook Plug-in, there is an option for the scheduler to reschedule the meetings to the correct time and all the participants will receive update notifications with the correct time.

What must be done to update the MeetingPlace software and related software?

  1. To ensure the Microsoft Windows based MeetingPlace Gateway servers are compliant with the new DST policy, the MCS server's Microsoft Operating System will need to be patched. For more information, please refer to the MCS Server Operating System Field Notice for New Zealand Daylight Saving Time.

  2. The following MeetingPlace components must be upgraded in order to be compliant with the new Daylight Saving Time policy for New Zealand:

    MeetingPlace Audio Server version 6.0.1.11 or above - Cisco MeetingPlace Server Software (registered customers only)

    MeetingPlace Gateway SIM version 5.2.0.74 or above - Cisco MeetingPlace GWSIM Software (registered customers only)

    For MeetingPlace version 5.4 fixes for the above components, please contact your local TAC representative as TAC has access to hotfixes that can be published individually to each affected customer. The other affected MeetingPlace components mentioned in the Products Affected section only require an associated third party software upgrade.

  3. For customers who are on MeetingPlace 4.3 PCI servers, contact your local TAC representative to obtain the hotfix for New Zealand 2007 DST change.

  4. Every MeetingPlace end user must install the appropriate Windows patch on their desktops. Microsoft has released an update for Windows that corrects Windows time zone definitions to reflect the changes in New Zealand DST policy.   5. For customers using MeetingPlace for Outlook Gateway, both the MeetingPlace Outlook Gateway and Exchange servers should have the appropriate Microsoft Exchange patches for the change in New Zealand Daylight Saving Time policy. The appropriate patch for Outlook 2007 can be found here. The appropriate patch for Exchange 2003 can be found here. However, Premiere Support with Microsoft is required in order to obtain the Exchange 2003 patch.

  6. For customers using MeetingPlace Notes Gateway, appropriate Lotus Notes patches for the change in New Zealand Daylight Saving Time policy can be found at the IBM site.

I have MP Web 6.0 in production, what workaround is available for the synchronized data and audio recording problem during the transition period?

The workaround is to play the web and audio recording separately and manually synchronize them.

To access recordings, find the appropriate meeting using the "Find Meeting" option and click on "Attachments/Recordings". There should be two separate recordings. One is a web recording and the other is an audio recording. Playback the web recording using the built-in MeetingPlace console tool and playback the audio recording using an audio playback application. Manually adjust the progress bar in the audio and web recordings so they are synchronized.
